This Friday, September 28th, Nonprofit Commons is happy to feature Jayne Cravens, who will speak to us about TechSoup’s Community Forums.

Jayne Cravens is an internationally-recognized trainer, researcher and consultant. Her work is focused on communications, volunteer involvement, community engagement, and management for nonprofits, NGOs, and government initiatives. She is a pioneer regarding the research, promotion and practice of virtual volunteering, including virtual teams, microvolunteering and crowdsourcing, and she is a veteran manager of various local and international initiatives. She has been interviewed for and quoted in articles in The New York Times, The Wall Street Journal and the Associated Press, as well as for reports by CNN, Deutsche Well, the BBC, and various local radio and TV stations. Resources from her web site, coyotecommunications.com, are frequently cited in reports and articles by a variety of organizations, online and in-print. Jayne received her BA in Journalism from Western Kentucky University and her Master’s degree in Development Management from Open University in the U.K. She is currently based near Portland, Oregon in the USA.

[08:47] MarnieWebb: I work with Susan at TechSoup and, as a part of my job, I work a lot with communities.

[08:47] MarnieWebb: And, by many measures, this community

[08:47] MarnieWebb: is the most engaged community in which we operate.

[08:48] MarnieWebb: I think it has a lot to do with the way the community engages over time to make this place a destination

[08:48] MarnieWebb: From these weekly meetings

[08:48] MarnieWebb: From the projects in which you are engaged

[08:48] MarnieWebb: and over the last five years

[08:48] MarnieWebb: you keep coming back

[08:50] Buffy Beale: Question: Do you feel supporting the NPC has been good for TechSoup?

[08:50] MarnieWebb: Yes, it’s been very good for TechSoup.

[08:51] MarnieWebb: We’ve had engagement with projects

[08:51] MarnieWebb: — like last week’s talk about the Mayo clinic work —

[08:51] MarnieWebb: that we wouldn’t have exposure to otherwisse

[08:51] Orange Planer: “Why does TechSoup feel that Second Life/NPC is important?”

[08:51] Buffy Beale: that’s great to hear Marnie ty

[08:51] MarnieWebb: and that has helped us grow the ways that we work in other communities and in real life

[08:51] Gwendolyn McGinnis: or my damn computer sux again ?

[08:52] MarnieWebb: We feel it’s important because it’s a place where people can come together

[08:52] Buffy Beale: perfect, it’s the same for the orgs here I think, connecting with others

[08:52] MarnieWebb: when we started this we were at an event

[08:52] Gwendolyn McGinnis: ha sorry

[08:52] MarnieWebb: where Ansche Chung talked about how second life

[08:52] MarnieWebb: transported her out of a rural communitiy in china and provided access

[08:52] MarnieWebb: we are all about using technology to provide people with access

[08:52] MarnieWebb: and second life is a venue in which that can happen.

[08:53] Zinnia Zauber: Marnia, how do you feel we can collaborate in the future using social media and virtual worlds?

[08:53] Rhiannon Chatnoir: any other questions.. I know Marnie only has a few minutes left

[08:53] Orange Planer: OK, if that isn’t a clear statement of support for what we all believe in, I don’t know what is.

[08:53] Buffy Beale: Encouraging to hear Marnie, thank you!

[08:53] MarnieWebb: I think that we can use virtual worlds and social media to model interactions that we could never have in real life

[08:53] MarnieWebb: as these technologies get stronger and easier to access

[08:54] MarnieWebb: and have more tools — even things like google glasses or mapping overlays —

[08:54] MarnieWebb: that allow us to blend the different environments

[08:54] MarnieWebb: i think that we’ll find that we are able to solve problems around specific issues

[08:54] MarnieWebb: and move those issues — the issues we are all committed on working on — forward.

[08:55] Zinnia Zauber: Are you excited to see more and more of that engagement?

[08:55] MarnieWebb: (I’m super impressed by some of William Gibson’s books and I think those have some hints of that in their art projets)

[08:55] Zinnia Zauber: We know we have to help train people to use these tools and this is a super forum to do it in.

[08:55] MarnieWebb: Anything that brings engagement across communities and provides avenues for interaction and creativity is important

[08:55] MarnieWebb: anything that helps bring more community to our community is valuable.

[08:56] Ozma Malibu: Marnie you are SO ENCOURAGING thank you.

[08:56] CarmenLittleFawn: I knew of techsoup from the 90’s through California Wellness Foundation, a lot was going on back then, and it was not until I came to second life that I really utilized what you have to offer

[09:00] Buffy Beale: Hello and good morning-afternoon-evening wherever you are in the world today, here you are joining in with others from around the world. Isn’t that just the best thing about Second Life… we can connect from anywhere.

[09:00] Buffy Beale: Today marks a special day but every Friday is special to me because of our weekly meetings here at the Nonprofit Commons (NPC), where we’ve been meeting now for 5 years. Five years of packed agenda’s, that is no small feat.

[09:00] CarmenLittleFawn: mmhmm

[09:01] Buffy Beale: There are so many here today who have been here longer than I have, so I’ll just share one of my first impressions.

[09:01] Buffy Beale: I think most know the story of how I found the NPC, seeing TechSoup in someone’s group, looking them up and dropping off a notecard to thank them.

[09:01] Buffy Beale: The organization I volunteer for in Real Life, Bridges for Women has used TechSoup for years and it’s because of TechSoup we can afford to keep current with our software.

[09:02] Buffy Beale: I say it a lot, and I’ll say it again…. Long Life TechSoup!

[09:02] Buffy Beale: Not long after, Glitteractica Cookie (what a name lol!) invited me to join here and the rest is history.

[09:02] Glitteractica Cookie: I’m so glad we stayed

[09:02] Buffy Beale: I’ll never forget my first meeting here, and surprise that it was more than just a group meeting to chit-chat, like many group gatherings. No, it was being engaged with an interesting presentation and an opportunity to make an announcement should I have one for Bridges.. I was impressed from the get-go and dazzled by the concept of having an office here for Bridges.

[09:03] Buffy Beale: But, that first meeting was a milestone for me.

[09:03] Buffy Beale: When Glitteractica Cookie asked us to say our real names and location, I froze. I mean, this is the internet and one is supposed to stay safe and not reveal one tiny thing about ourselves… to say my name out loud was terrifying!

[09:04] Par: I guess she was too terrified

[09:04] CarmenLittleFawn: hehehehe

[09:06] Zinnia Zauber: I know that because of Buffy’s encouragement, I became more engaged because I felt welcome.

[09:06] Zinnia Zauber: Please Buffy, continue.

[09:06] Buffy Beale: as I was saying…

[09:07] Gentle Heron: You said “terrified” and disappeared. It was perfect timing, Buffy! Very dramatic.

[09:07] Buffy Beale: to say my name out loud was terrifying!

[09:07] Buffy Beale: lol Gentle

[09:07] Buffy Beale: I only had a few minutes to decide… was I in or out.

[09:07] Buffy Beale: My screen lit up with names of the others; I was mesmerized by the sound-off of names and locations from all over the world. People like Coughran and Ozma and Glitteractica and InKenzo merrily typed out their info without hesitation.

[09:07] Buffy Beale: It didn’t matter if they were a pink cat or a green fairy giant… these were real people

[09:08] Buffy Beale: If they could do it, so could I as it gave me the confidence to jump in too. I’ve never looked back.

[09:08] Glitteractica Cookie: 🙂

[09:08] Buffy Beale: LOL now it’s a race between myself and a few others to be first, mostly HB who teases me every time he ‘wins’, my how times have changed.

[09:08] Buffy Beale: It still gives me a warm feeling those morning introductions to see where we’re all from. Truly we are a global community of caring people who want to make a difference in the world. It doesn’t get much better than that.

[09:08] Buffy Beale: I’d like to thank you Susan, er Glitter for having the vision and gumption to make the Nonprofit Commons a reality. It couldn’t have been easy, 5 years ago this virtual reality was such a big question mark for a lot of reasons, mostly because it was thought it is NOT a place for serious happenings.

[09:09] Buffy Beale: I know it takes a team behind you too, so a hearty thank you to everyone from TechSoup, here we are 5 years under our belts.

[09:13] Ozma Malibu: I work with Floaters.

What is Floaters?

[09:14] Ozma Malibu: Founded in 1994, Floaters is a technology outreach organization that seeks to extend technology to everyone, especially to those least likely to have such access. Floaters has worked primarily with people who have been homeless. 

 

Floaters Organization is located in Arizona, Mexico and “On the Road” (some of our members live in vehicles.)

[09:14] Ozma Malibu: Floaters isn’t just about the technology. The actual tech is only a small part of having access and using it. A program like this is also about envisioning pathways and empowering people to build their way to the life they want.

[09:14] Glitteractica Cookie: I will share this with Marnie, no prob

[09:14] Ozma Malibu: Floaters operates through participatory action research, where people get together and decide together on the goal. Everyone’s voice is equal, because everyone’s knowledge is equal.

[09:15] Ozma Malibu: How Did Floaters Arrive in Second Life?

 

Ozma came into being in 2006, my second attempt at getting into Second Life. (I will not go into the confusion of the first attempt.) In 2006, though, I had a flesh and blood mentor, someone who could guide me through and get me started.

[09:15] Ozma Malibu: It wasn’t long before, wandering about on Info Island, I found the TechSoup sign next to a stone circle of seats.

[09:15] Ozma Malibu: I knew that in Real Life, TechSoup was very good at organizing things, and that was exactly what I needed, someone to organize the chaos of Second Life. So I signed up immediately And that is how I met Glitteractica Cookie!

[09:16] Ozma Malibu: When the first island, Plush, was gifted to the NonProfit Commons, Floaters moved into our current location, Office 17.

[09:16] Glitteractica Cookie: 🙂

[09:16] Ozma Malibu: Office 17 became both a virtual Community Technology Center and a virtual gallery where we tried out ideas that we might use in a Real Life gallery someday.

[09:17] Ozma Malibu: And I am still pinching myself, because that’s exactly what happened. Floaters is now working with a 2-year timeline to renovate a house in an historic district in Mesa, Arizona, a little adobe home, and create a gallery there, helping to bring this little neighborhood back (there were 17 foreclosures on one 3-block street).

[09:17] Buffy Beale: YAYY!

[09:17] Ozma Malibu: The reason for the 2-year timeline is that in 2 years, the Phoenix light rail will reach downtown Mesa, Arizona, about two blocks from the planned gallery. We envision people taking the light rail downtown, and walking the two blocks to our little gallery and drinking iced tea and admiring the art.

[09:17] Ozma Malibu: AND So much of this is due to TechSoup and the Nonprofit Commons. I can’t imagine how this would have happened otherwise. We have gained so much confidence from the interesting projects that Office 17 has played host to.

[09:17] Ozma Malibu: A word about Networking in Second Life:

[09:18] Ozma Malibu: Everybody says it, and it’s true: networking opportunities are more useful, interesting, deeper, and fun in a virtual world than in a world of just email and text chat.

[09:18] Ozma Malibu: Floaters has collaborated with other nonprofits whose avatars Ozma met right here. Finding that a group of us worked on issues of homelessness, we got together and worked out plans for a project called Transitions that would provide a path upward for people in need of a “new life.” The project would require some funding to really take off, but we were able to run a pilot project, and we learned some interesting things and I think we can say that the people who participated did benefit from the project.

[09:18] Ozma Malibu: This bit is long but needs to be said. The story of the pilot was published as a article in the Journal of Virtual and Personal Learning Environments. The editor for the project was Bluewave Ogee, a member of the Nonprofit Commons at the time, a lovely person who was already famous for having written the first all-digital dissertation. Her work relied on video, and there was really no other way to present her findings. Bluewave died a few years ago, but not before successfully piloting, on a large scale, the use of Second Life in higher education; and before she passed away, Texas received funding for every State institution of higher learning, and every course, to have access to a space in Second Life.

[09:18] Ozma Malibu: There are other people here today with whom I have worked for so long that I really trust them, and know them better than many people whom I have worked with in Real Life.

[09:29] Rik Panganiban: My goal is to help teens to explore their science interests and telling compelling stories using technology.

[09:30] Rik Panganiban: And from a larger perspective, I think there is a great challenge in creating online spaces where kids can learn about the world, science, sustainability and themselves in a safe and engaging way.

[09:31] Rik Panganiban: And right now there are a lot of great digital tools that we are looking at, from 3D modeling software, virtual environments like the Blu, and collaborative game spaces like Minecraft.

[09:31] Rik Panganiban: And it looks like Linden Lab is expanding their offerings to other creative apps and spaces as well.

[09:31] Rhiannon Chatnoir: yes

[09:31] Glitteractica Cookie: we should have them come and talk to us about them

[09:32] Rik Panganiban: So the challenge for us is how to use the right tools to bring the right content to this next generation of leaders, scientists, and citizens.

[09:32] Rik Panganiban: We’re still figuring that out for ourselves at the academy.

[09:33] Rik Panganiban: So we look to places like the NPC as a great forum for smart people to help us find some answers

[09:33] Gentle Heron: The right answer is: “There is no one right answer.”

[09:34] Rik Panganiban: So my time here is limited, but I wanted to give you some idea of what my current challenges and projects are.

[09:37] Coughran Mayo: I’m happy to be able to be here today to share with you some of my history with the NonProfit Commons in Second Life.

[09:37] Coughran Mayo: I’m not sure what the “all star” designation that was given to me (and some others) in regards to this meeting, I suspect it’s a lot like other things in my life – if you stick around long enough, sooner or later you get credit for something, whether you deserve it or not. Or else you get blamed!

[09:37] Coughran Mayo: It is certainly true that I have some longevity with the NPC, although I hasten to mention that there were already people in SL, working hard on the founding of the organization, by the time I showed up in February of 2007. At the time, SL was about 3 and a half years old, and it was already a busy place – although certainly not on the scale of today.

Today, when you log in, you will usually see somewhere between 40,000 and 50,000 concurrent users. Back when I first discovered it, Second Life usually had about 13,000 users on at any given time.

[09:38] Buffy Beale: lol C you deserve the credit

[09:38] Coughran Mayo: One of the first things I did when I got logged into SL in 2007 (once I figured out how to score a few Linden dollars so I could upgrade my beginner avatar) was to use the internal search function to look for things that interested me. I searched for “addiction”, “counseling”, “therapy” and the like. One hit I got from a search for “nonprofits” was to a kiosk – I think it was on one of the Info Islands – that announced the formation of the NonProfit Commons. Beyond the obvious reference to NPC, I also saw that TechSoup was the organizer of this new collaboration group. I was already familiar with TechSoup, as my non-profit had benefited several times from their software donation program.

[09:38] Coughran Mayo: Those of you who are not familiar with this program, if your non-profit ever buys software, really owe it to yourselves to check it out. Just go to http://www.techsoup.org/stock/howtousetechsoup.asp and you will see how you can get some massively discounted deals on most of the useful software programs a non-profit might need.

[09:39] Coughran Mayo: Anyway, following up on the in-world notice about NPC, I first met Glitteractica Cookie, who explained to me what the project was all about, and after taking care of all of the details – providing evidence of my employer’s non-profit status (I worked at Preferred Family Healthcare at the time) and filling out the application, I was given one of the very early spaces here on Plush Non-Profit Commons, which was the only sim that NPC had at that time. I believe that our first office was Number 03. Later we moved into the inner circle, where the TechSoup office is now.

[09:39] Coughran Mayo: At the beginning, there were only a handful of offices filled up, but over the next several months NPC was filled in with a diverse slate of nonprofits, including many who are still involved: RoSa, Boomer Esiason Foundation, Bridges for Women, Great Strides, Giving Circles Network, and Garden for the Missing, just to name a few. I was able to learn from all of these new colleagues, people I would never have met in real life.

[09:40] Coughran Mayo: I still have some photographs from the dedication ceremony for Plush, where I was asked to be a speaker, and also serve as “security” 

[09:40] Coughran Mayo: Over time, NPC continued to grow and add members and when Aloft NPC opened, I asked for a space there in order to create Wharf Ratz, where we have been having our Tuesday Night Extraordinary Dance Extravaganza each week for about four years now. A lot of you may not know this, but the reason for the name of Aloft comes from the original tenant/owner of the property, Starwood Hotels. They were testing the concept of a new, businessperson-focused hotel, to be call Aloft, and set up a demo version of their hotel on the parcel, soliciting comments and suggestions from SL visitors. Some of the ideas people sent them were incorporated into the final design of the Aloft chain, which now has nearly 500 locations around the world. If you look at the Wikipedia entry for Aloft, there is a mention of the Second Life project. When Starwood was finished with their project, they had a contest to give away the sim to a nonprofit, and the winner was one of the NPC members, which led to Aloft becoming the second Sim on the NP

[09:40] Coughran Mayo: C “archipelago”

[09:41] Coughran Mayo: Following an initial attempt to use SL as a way to “recruit” clients who needed the behavioral health counseling services that Preferred Family Healthcare offered – after all, among 14,000 concurrent users we could statistically expect to find 700 or 800 people with alcoholism or addiction problems – we decided at PFH that a better use for the virtual world technology was to maintain connectedness with our “real world” clients who had accessibility challenges. A series of events, both planned and unexpected, led us to getting an initial project funded through a grant from the Missouri Foundation for Health, and over the next three years we were able to win around 3 million US dollars in grant funding from various sources to try using virtual world based counseling for different user groups. Today, virtual counseling is a significant part of Preferred Family Healthcare’s product line. Clearly our NPC involvement played a big part in that happening.

[09:42] Coughran Mayo: In November of 2011, I left PFH to start my own consulting firm, Innovaision LLC. Although I do work with nonprofits on strategic planning, grantwriting, and innovative problem solving, the main focus of my work is building virtual environments for counseling and teaching purposes, and training agencies to use these environments to advance their mission. After nearly one year, Innovaision is quite successful, and I can truthfully say that a significant foundation for this success derives from my initial visit to Second Life, and the inclusion in the NonProfit Commons project over the past five years!

[09:43] Coughran Mayo: And, although I have left PFH, I ‘m happy that Brena Benoir is still here representing PFH at NPC, she has great ideas and boundless energy!

[09:43] Coughran Mayo: Beyond the history and success I have noted, I would also want to say that NPC involvement has, importantly, introduced me to many clever and thoughtful people, many of whom have become true friends over time. One of the pleasures I have had in developing these friendships has been meeting a lot of you in person during my travels. Those of you who haven’t see the “Wall of Fame/Shame” at Wharf Ratz should come by sometime and see the many photos I have taken with myself and my real life Second Life friends. I always remember that there are real people behind each avatar in SL, and in my experience, most of those people are really fantastic!

[08:47] bulaklak: So . . . the reason I ask is that TechSoup mounted a massive survey last year, reaching out in 22 languages to 88 countries
[08:47] bulaklak: We got more than 10.5k responses

[08:48] Jerod Bagley: My own unit uses the cloud for a lot of shared resources. But institution wise use is small.
[08:48] bulaklak: And our wonderful tech analyst Ariel Gilbert Knight worked diligently on creating a report to analyze the results

[08:48] bulaklak: With the executive summary in 22 languages
[08:49] bulaklak: There’s some interesting stuff in here about how NGOs are using (or not) the cloud and what their perceptions of the technology are

[08:53] Brena Benoir: As you can see from the poster this morning our topic is SMART Goals
[08:54] Brena Benoir: we have focused on the community concept lately and I thought this woudl help orgs look at why they are here and what their goals are and help examine those closer
[08:54] Brena Benoir: This morning we will be taking a look at the SMART goal concept. The hopes is that this will allow us
to set goals for our work within in our organizations. We all have different goals when we start work
in virtual worlds. Anywhere we go, sometimes we are able to achieve goals, sometimes we are not. 
When we don’t feelings build and disappointment sets in and leads to a sense of failure and desire to give up.
[08:55] Brena Benoir: Understanding the SMART Goal concept will allow us to set better goals and focus on what we are really
setting out to achieve, experience the feeling of successes, and continue our growth.
[08:55] Brena Benoir: S=SPECIFIC 
 
This aspect tackles the who, what when, where, whys. It’s focuses on the details.

My organization will sponsor an event 4 times a year in my NPC space to educate about addiction
and mental health issues.

This step encourages us to look at the details of how we go about accomplishing our goals. What supplies,
resources, education, etc. will we need in order to accomplish our overall goal. Working on this step
allows us to formulate the substeps to help work to achieve the small successes to work towards
our overall goal.
[08:59] Brena Benoir: We want to make sure they are achievable from the start of settign them
[08:59] Brena Benoir: R=Realistic
 
This step addresses a major component we address in the substance abuse field, that is willingness. 
We look at our willingness to accomplish the goal and our ability to do so. If we set goals that we 
know that we cannot accomplish, we set ourselves up for failure from the start.
[09:00] Gentle Heron: That helps with motivation, right?
[09:00] Brena Benoir: That is correct
[09:00] Brena Benoir: if we feel they are out of reach from the start, we already feel at a disadvantage
[09:00] Brena Benoir: Many children say I want to become a professional athlete someday. If they aren’t working on their athletic
abilities growing up that isn’t a possibility at all. The reality is that is a small portion of 
them will actually achieve that goal and many of these have honed and worked on their skills for years.
[09:01] Brena Benoir: If your org has a fundraising goal in world, ask yourself what is a realistic amount to target in virtual worlds.
[09:01] Brena Benoir: our last component is Timely
[09:01] Brena Benoir: T=TIMELY
 
This is where we establish a set time frame in order to accomplish our goal. 
 
Example: My organization is new to NPC, I want others to learn about my organization and what we do.
[09:01] Brena Benoir: I will sponsor an event in my NPC space within one month of being granted tenant space in NPC where I will 
educate attendees about my organization and mission statement. 
 
I will meet 3 new members of organizations each month to improve my network in NPC.
[09:02] Brena Benoir: The SMART goal concept is acceptable for use across the spectrum from personal use to nonprofit 
sector use to corporate use and anywhere in between.
[09:02] Brena Benoir: I strongly encourage you to look your involvement 
in this community and virtual worlds in particular and do some self questioning to see if your 
organization’s goals are consistent with your mission statement and your purpose in 
being here in a virtual capacity.

Brian Kaihoi has been with Mayo Clinic for 35 years. During that time he has held a variety of administrative and operational positions. As a member of the consulting staff of Mayo Clinic, Brian has worked with the Mayo Medical School and Mayo School of Continuing Medical Education on content development and delivery strategies. Currently, Brian is the Mayo Foundation Web Administrator, working with all Mayo Clinic Web activities, and works with the Center for Innovation, which is finding ways to transform the way health care is experienced and delivered.

– In the USA, 70% of clinical trials do not get enough participants and so are not completed
– Recruiting for trials has been successful, and very low cost
– Many groups do research in SL, but not traditional medical research

Mayo Clinic’s Virtual World Activities with Brian Kaihoi for September 14th Nonprofit Commons Weekly Meeting

This Friday, September 14th, Nonprofit Commons is happy to feature Brian Kaihoi (Svea Morane in SL), of the Mayo Clinic. The Mayo Clinic has had a presence in Second Life since January 1, 2009, which has grown now to 4 regions. They have been working to provide consumer health information, patient care services, internal work team support, and even modeling physical spaces inside SL before they build the buildings. Most significantly, they have found many partners in SL who share similar goals and values, that can work with the Mayo Clinic to have a larger impact on patient care. This presentation will report on Mayo Clinic’s virtual world activities in the areas of patient care, research, education and administrative services.

Brian Kaihoi has been with Mayo Clinic for 35 years. During that time he has held a variety of administrative and operational positions. As a member of the consulting staff of Mayo Clinic, Brian has worked with the Mayo Medical School and Mayo School of Continuing Medical Education on content development and delivery strategies. Currently, Brian is the Mayo Foundation Web Administrator, working with all Mayo Clinic Web activities, and works with the Center for Innovation, which is finding ways to transform the way health care is experienced and delivered.

[08:56] Gentle Heron: We all know that distractions can prevent us from focusing on necessary tasks and decrease our effectiveness and efficiency as we try to work or study. Four overall strategies will help students and employees become intentionally more productive.

[08:56] Gentle Heron: Let’s look at each strategy, plus some tips for each. Probably this isn’t new to you; just a reminder.

[08:57] Gentle Heron: When you are working in reactive mode, always responding to new stimuli, you simply can’t focus on any important task. It’s not only the time you lose while responding, it’s also the time you take to switch gears and then switch back again.

Email and IMs
Phone calls
Social media
Visitors

[08:59] bulaklak: When you mean to fix one thing but find another unexpected typo or other thing that then leads down a rabbit hole to ten other things and a whole chain of command that is broken
[08:59] Gentle Heron: How can you keep them under control? Try some of these anti-distraction techniques.
[08:59] Gentle Heron: For email:
1. Turn off automated email checking. The pop ups or pings distract you even if you don’t check—but you probably will peek.
2. Alternatively, extend the lapsed time between checks. Set it to notify you at a time when you are ready to deal with all your emails at once.
[09:00] Gentle Heron: 3. You can even close or minimize your email app.
4. When responding to emails, focus on those sent TO you, not CCed to you.
5. Some email systems allow you to filter and/or color code your emails, to make it easier to find the priority items.
[09:00] Gentle Heron: For IMs:
1. Don’t forget to set your status indicator.
2. Customize your status indicator. “Cranky and on a tight deadline- interrupt at your own risk” may be more effective at blocking unimportant IMs than “Busy.”

1. Turn off the phone. Don’t even leave the cell phone on vibrate. Leave the cell phone in a different room. Turn off the landline ringer.

2. Set up a system. Perhaps you can assign a ring to family or the boss so you’ll know which calls you MUST take immediately.

[09:01] Gentle Heron: 3. Send calls to voice mail, and deal with them during a block of time you’ve set aside for listening to, prioritizing, and responding to all your calls.

4. See if a response is needed. Many calls don’t require a call back; maybe a return email would do.

1. Schedule check-in times. Try not to peek!

2. Use an automated service (e.g., HootSuite hootsuite.com) to send out scheduled posts. Write once, post several times.

[09:02] Gentle Heron: For visitors:
1. Put a sign on the door. If you expect a delivery, let the delivery service know not to knock or ring the bell.
[09:02] Pathfinder Lester: I find Google Voice to be an outstanding tool for managing phone stuff. Voicemail-to-email transcription is pretty good too.
[09:02] Gentle HeronGentle Heron nods to Path.
[09:02] Gentle Heron: 2. If someone comes when you are busy, they may get the hint easier if you say “Sorry, I’m expecting a call,” rather than a more generic, “Sorry, I’m busy now.”

3. Even if you’re not listening to music, wear a headset to discourage visitors.
[09:03] Gentle Heron: 2. The second strategy for intentional productivity sounds simplistic, but it’s really foundational. Plan your work day.

There are lots of tools that can help us with this. You can buy expensive planner systems. But you don’t really need tools. Here’s what you can do.
[09:03] Gentle Heron: First, at the end of each day, write down at least the top three things you need to accomplish the following day. A full TO DO list can seem overwhelming, but is also useful if you might forget something important.

[09:03] Pathfinder Lester: “Plan your work. Then work your plan.”
[09:03] Gentle Heron: Yes Path!
[09:03] Gentle Heron: Keep a long-range calendar. Be sure to mark all deadlines and due dates. But also work backward from these end points, and mark where you need to focus on the steps necessary to achieve the objectives by the deadline.
[09:04] Gentle Heron: Throughout the workday, set short goals. Write down “the three next things” you need to accomplish, and finish those before you write up the next list of three things.
[09:04] Gentle Heron: If you get interrupted, or if you finish a subtask, make a note to yourself explaining what to do next.

A yellow stickie that says “Continue spell check from here” pasted onto the manuscript, or a note to “Call the client to give progress report” paperclipped to the draft plan will keep you on track.
[09:04] Oronoque Westland: just make sure that your to-do list is not part of the pop ups that you have now turned off

[09:04] Gentle Heron: 3. The third strategy is to create a productive working environment.

This has to be personalized, as we all have different needs. Basically, you want to make your working environment disappear, so that you can focus on the tasks and don’t get sidetracked by annoyances and distractions.
[09:05] bulaklak: This is great! I love planning tips.
[09:05] Gentle Heron: For example, some of us need absolute silence to really concentrate; others need background music.

Noise-canceling headphones work either way. You can also use ear plugs or a white noise generator. Whatever works best for you, use it!
[09:05] bulaklak: I also *really* love this tip from above “4. When responding to emails, focus on those sent TO you, not CCed to you.:”
[09:05] Gentle Heron: The same with all the other environmental variables: light level, temperature, chair and desk, etc.

One way to keep yourself focused on work is to be sure that the fun apps– Angry Birds, your recipe collection, whatever– are NOT on your work computer. Put them elsewhere, preferably in a different room.
[09:06] Gentle Heron: 4. The fourth and final strategy is to be aware of time, and yes Rhiannon, I am!
[09:06] Gentle Heron: A timer will help you focus. This can be the old fashioned wind-up kitchen timer, or an online tool like onlineclock.net
[09:06] Gentle Heron: Most of us can manage at least ten minutes of concentrated effort. Work up to 25 minutes of sustained attention.

The Pomodoro Technique (http://www.pomodorotechnique.com/) recommends 25 concentrated minutes followed by a 5 minute break. After four cycles of this, take a longer break.
[09:07] Oronoque Westland: I need to position the on screen clock where other apps don’t hide it
[09:07] Coughran Mayo: “always on top”
[09:07] Gentle Heron: (onlineclock will buzz even if you can’t see it Oro)
[09:07] Gentle Heron: When you begin a task, or start a meeting, note the time at the top of your paper. This visual reminder will keep you working and help you avoid “bird walking” away from the topic.
[09:07] Jerry Buchko: oh, fun apps are definitely one of those distractions i wrestle with sometimes
[09:08] Gentle Heron: Don’t go to unnecessary meetings! Sure you can’t avoid some. But if you see from the agenda that the topics aren’t relevant to your work, ask the meeting organizer if you can be sent the meeting notes afterward.
[09:08] Gentle Heron: Similarly, if you are in charge of the meeting, be sure it is scheduled at a time others can attend easily; always send an agenda ahead of time; and cancel the meeting if there’s nothing important to accomplish.
[09:08] Gentle Heron: Blockers and Aids are two different approaches to dealing with productivity issues. Blockers keep the distractions away from you.
[09:08] Gentle Heron: For instance, Leechblock (a Firefox add-on https://addons.mozilla.org/en-US/firefox/addon/leechblock/)

and DoNotDisturb (for Outlook http://www.clearcontext.com/user_guide/do_not_disturb.html)
[09:09] Gentle Heron: … will keep you away from those websites that steal so much of your time and attention. Other examples of distraction blockers are ear plugs, or putting your phone on mute.
[09:09] Gentle Heron: Aids help you manage distractions by encouraging you to work or study better.

These include calendars, dayplanners, TO DO lists, colored highlighters, and text substitution apps (see http://lifehacker.com/162484/save-time-with-text-substitution for some examples).
[09:09] Gentle Heron: It’s easy to get a great deal of stimulation in return for very little effort. How hard is it to find dumb cat videos on YouTube?

If it took a half hour to find one, or you had to pay to watch it, the impulse value is gone. MEMO: Don’t buy the candy at the check out aisle!
[09:10] Gentle Heron: Change the effort-to-reward ratio for low-value distractions. Make it harder to become distracted! Give yourself a chance to make a better choice, more time to think.
[09:10] Glitteractica Cookie: i close facebook when I’m trying to focus, b/c the notifications are too diff for me to resist checking

[09:10] Gentle Heron: Routines will make a difference in your productivity. In general, productivity aids work better than blockers, because it means your attitudes and behaviors have changed.
[09:10] Gentle Heron: What you want to do is be more mindful about productivity. Create new productive habits.

They say it takes 21 days of repetition to form a new habit. Pick one that we discussed today and do it consciously for 3 weeks. See if that routine makes a difference. I bet it will.

[09:11] Gentle Heron: For the next 3 weeks, try making being unproductive unproductive.

[09:18] alebez: This makes it incredibly easy to facilitate collaboration across a distributed team, and makes holding team members accountable all the more transparent.

[09:18] alebez: By assigning ownership of tasks, and placing project deadlines on one unified calendar, each member of our team can see upcoming deadlines and track project deliverables. I’ll show you how in just a bit.
[09:18] alebez: Basecamp is a web-based tool which allows for multiple user access, and makes collaboration easy across a distributed team.
[09:19] alebez: After logging in to a Basecamp account, what you see is a dashboard of all the projects you have on your plate at a given time. You can then choose to navigate to the project you’re working on at the moment, and open the project folder to reveal team discussions, to-do lists, files, and text documents.
[09:19] alebez: After opening your project folder, you have access to view and participate in all your team’s discussions relating to that project, to-do lists with the option to assign ownership of tasks, share files and text documents.
[09:20] Buffy Beale: this sounds like a great tool!
[09:20] alebez: You can choose to contribute to a discussion thread, check out upcoming to-do’s, or download files relating to the project. This folder is meant to contain everything relating to the project at hand, and allows access to the team members you choose to work on the project.

[09:21] alebez: It’s easy to begin a new discussion thread, as it’s a lot like crafting an email. You’d give it a title as you would an email, write the content, and then choose which people on your team you want to notify.

[09:21] alebez: Your discussion is public, so anyone invited to the project can join, but only those you choose will get an email notification. (you can sync up Basecamp notifications to your email account)
[09:22] alebez: Basecamp offers a versatile platform for assigning ownership of tasks and tracking deliverables.
[09:22] alebez: By keeping all yours tasks together, and individually assigning to-do’s to members of your project with due dates, you can easily track the progress of your team on the calendar, and manage deliverables accordingly.

[09:25] alebez: Pricing starts at $20/month for up to ten projects and 3GB of files, rising to $50/month for 40 projects and 15GB of files.

[09:27] alebez: Our team used Huddle for a period of time, but ultimately didn’t like the fact that there wasn’t one unified calendar to view everything from a higher level, but instead required the user to toggle between multiple dashboards. Huddle’s user interface was also somewhat clunky.
[09:28] alebez: Basecamp’s proven reliability was a huge factor when choosing which tool to go with. We knew it could deliver most of what we were looking for, including a master calendar. Also points for the ability to access it mobile, and multiple entry points for collaboration. Also, a few of our team members had already used Basecamp, potentially making it easier to adopt.

[09:29] alebez: Asana looked like a good project management tool, can act as an interim crm, and does have an api, but doesn’t provide the crystal clear organization structure that I feel Basecamp does a better job at providing. It does however, have the capability of syncing to Outlook, and the interface is quite easy to navigate. Also, it’s free to set up an account (biggest points for asana here).
[09:29] alebez: Asana is a practicle and clean free service, one that I would recommend on a tight budget. I’ve heard good things about Asana.
[09:29] Glitteractica Cookie: on our team we tried so many PM tools, before settling on this one
[09:29] alebez: We sure did.
[09:29] alebez: We tried a whole lot.
[09:29] Glitteractica Cookie: and several before you joined the team too
[09:30] alebez: and ultimately, Basecamp fit our needs

Basecamp project management with Ale Bezdikian for September 7th Nonprofit Commons Weekly Meeting

This Friday, September 7th, Nonprofit Commons is happy to feature Ale Bezdikian (alebez in SL), who will share how Basecamp project management tool makes working on a distributed team and collaborating on mutual projects so much easier. She is TechSoup’s Online Community and Social Media team Coordinator, where she spends most of her time using Basecamp to track her team’s daily project activities, keep them on a sustainable timeline, and meeting deliverables.

Ale’s bio: After studying journalism and comparative religion at Cal Poly, San Luis Obispo, Alexandra (Ale) Bezdikian was given a fellowship with Mother Jones Magazine where she produced videos as well as fronted their outreach communications department. Currently, Ale is TechSoup’s Online Community + Social Media team Coordinator, and loving it! That means she keeps the team on track and in check, making sure everyone is meeting timelines and deliverables. Most of her time is spent wiki gardening and managing her team in Basecamp.

[09:01] Allene Sideways: Greetings, my name is Ruthe Farmer & I
represent the National Center for Women & IT and Computer Science
Education Week.
[09:01] Allene Sideways: I’ve been working in the gender & technology
world since 2001 when I joined the Girl Scouts as a STEM Program
Manager.

[09:02] Allene Sideways: I’m extremely passionate about equity for
women and girls and feel that meaningful participation of women in
technology is crucial to their economic security as well as the
quality of the technological innovations we create moving forward.
We can only imagine how the technical world will look once women have
an equal seat at the table. BTW SL has really great gender numbers in
terms of users.

[09:02] Allene Sideways: Slide 2
So why computer science?
[09:02] Allene Sideways: As you know it is Creative – Computing offers
the opportunity to create new technologies and imagine new worlds. If
you are a creative person – CS is a great way to use that in a career.
[09:02] Allene Sideways: It allows you to Solve Problems – no other
time in history has offered so much opportunity to have global impact.
Through technology we can address the great challenges of our time –
poverty, hunger, disease, space exploration. Individuals can make a
massive impact on the world.
[09:03] Allene Sideways: Scholarships – LOTS of scholarship money out
there for students interested in CS
Salaries – Computing jobs start around 60K for a new graduate and
median salaries are over 100K and…
[09:03] Allene Sideways: There are lots of Jobs – the US DOL predicts
1.4M new computing jobs by 2018 and right now there are two open jobs
in computing for every qualified person.
[09:03] Allene Sideways: Frankly the US needs more people in the
field. We live in an information economy that runs on technology, yet
our current educational pipeline will only produce 29% of the workers
needed to fill these jobs.

[09:04] Allene Sideways: Slide 3
So why is this a problem? The US has changed from a
farming/manufacturing economy to an information economy. Yet our
schools are essentially teaching the same curriculum that was
established in the late 1800’s – before modern technology existed.
[09:04] Allene Sideways: Computer science/technology is NOT a core
curricular course, it often does not count towards a math or science
graduation requirement, and is usually an elective course – competing
with art, music and languages. There is also a shortage of teachers
qualified to teach computing courses and no certification required.
[09:04] Allene Sideways: The National Center for Women & IT and
Computer Science Education Week are both working to address this
issue, seeking to improve the inclusion of women in the field and
increasing access to computing education for all students.

[09:05] Allene Sideways: Slide 4
One intervention we are really excited about is the NCWIT Aspirations
in computing program. This program identifies interested high school
girls and gives them the support and encouragement to continue.

[09:05] 01 Hifeng: seriously?? computer science isn’t mandatory in
american schools? wow

[09:05] Allene Sideways: Since 2007 we have inducted over 1500 young
women into this community and we are on target to recognize an
additional 1000 annually from here on out. The outcomes of this
program have been tremendous: 88% of participants enroll in a
traditionally male-dominated STEM major with 64% of girls majoring in
computer science.
[09:05] Allene Sideways: Yes, only 24% of US HS even offer it.

[09:06] Allene Sideways: And over 80% of participants report sharing
about the program or computing in general with younger girls.

We now have 55 local affiliate programs that serve girls around the
country in addition to a national level program. Girls are selected
and recognized locally, connecting them to peers as well as the
universities they might attend and companies where they might intern.

[09:06] Allene Sideways: At the same time all participants are invited
to an online community of peers which provides support, encouragement,
and connections to scholarships, jobs and opportunities.

Our evaluation shows that the small act of recognizing and encouraging
a girl’s talents really works. Girls report feeling more confident in
their tech skills, being more excited, and feeling less afraid.
[09:07] Allene Sideways: A favorite girl quote: “The experience for
applying for this award was a little doubtful at first, but eventually
I realized my experience in technology was noteworthy enough.”

[09:08] Biji Mornington: love that quote!

[09:08] Allene Sideways: BJ is familiar with this program
[09:08] Allene Sideways: Me too – heartstrings

[09:08] Allene Sideways: So on to encouragement – Slide 7
A colleague told me a story about her freshmen Intro to CS course –
that she took only because she couldn’t get into a different class.
She had intended to major in econ.
[09:08] Allene Sideways: Then her professor wrote on one of her exams
“Great job. Do you have a major? Come see me.” That small act of
encouragement changed her life and cost the professor nothing but the
effort to write it.
[09:09] Allene Sideways: There is significant power in words,
especially from an outside trusted source (i.e. not a parent). The
simple act of overly recognizing a student’s potential goes a long,
long way.
[09:09] Allene Sideways: When I speak to young people, I talk about
encouragement and promotion. I recommend they encourage THEMSELVES and
peers. It is easy, costs little and can only help.
[09:09] Allene Sideways: I also recommend they promote themselves and
promote others – so when an opportunity comes up – nominate yourself
or a friend. “Hey, my friend Jasmine is a great programmer, you should
put her on the team.”
[09:09] Allene Sideways: This is how the world works, how networks are
created and teams are built. I am working hard to encourage girls to
step up and ask for the opportunities they want and deserve – or
create them.

Core standards have moved toward including technology and engineering
as part of science, and that writing includes technical writing, so
there are a lot of other people who see the need in the US for
computer science in schools.

[09:20] Zinnia Zauber: Question: How do we lead by example to
encourage more of this dialog?
I know when I was in HS and college I was the only girl in my
architecture and computer classes. And, people are always surprised
when they take my computer classes, they seem to start with “Oh, you
are the instructor!”

[09:21] Allene Sideways: First, if you have young women in your
classes, pay attention to how they are doing.
[09:21] Allene Sideways: Don’t call them out as special, but make sure
they are being included.
[09:22] Allene Sideways: It is helpful to just inform people. Most are
unaware of the issue and conflate using computers with creating
innovation/technology.
[09:23] Allene Sideways: I’ve had conversations w/ businessmen on the
plane who say “what about women in technology” when I tell them what I
do.
[09:23] Allene Sideways: Most people just aren’t aware of the problem.
[09:23] Allene Sideways: but consider this: MOST of the technical
world around is being built w/o the input of 1/2 the population
[09:23] Allene Sideways: this is a problem
[09:24] Allene Sideways: First, because we aren’t getting the best
solutions possible (the first VM hung up on female voices bc it hadn’t
been designed by any women or tested w/ women)

[09:24] Biji Mornington: wow

[09:25] Allene Sideways: Second, we aren’t addressing the full suite
of problems that need to be solved because the design team is not
representative of the population

[09:25] Zinnia Zauber: Question: Are there more women using virtual
worlds and social media?

[09:25] Allene Sideways: Yes, social media has a lot of women and last
I heard SL was more than 40%
[09:25] Allene Sideways: could be different now
[09:26] Allene Sideways: We are excited about social media as a
possible avenue of women to move into tech jobs

[09:26] Biji Mornington: There are tons of experienced women in social
media and yet the men are still dominant as “the experts”

[09:26] Zinnia Zauber: Question: Could you please share with us your
biggest takeaway from your research in Second Life?

[09:26] Allene Sideways: also, social media is becoming more
sophisticated and demands more technology as it moves into mobile and
whatever comes next
[09:27] Allene Sideways: I have a team of 31 girls building a mobile
social app to connect tech minded young women
[09:27] Allene Sideways: It is an Android – they will be presenting it
at www.gracehopper.org next month

were using SL for educ purposes
[09:29] Allene Sideways: Two things were really salient
[09:29] Allene Sideways: SL is a great platform for people with disabilities

[09:29] Allene Sideways: both for research by researchers w/
disabilities and to mitigate bias
[09:30] Allene Sideways: Also, at CU Boulder they are teaching CS 101
for nonmajors using SL and LSL
[09:30] Allene Sideways: they have seen the class grow from 20
students to 90 students
[09:30] Allene Sideways: and it is now 40% female
[09:31] Allene Sideways: I think there is something about the creative
aspect of building in 3D that attracts a more diverse student
population

On Friday, August 31, Ruthe Farmer will share how the Power of Encouragement can improve participation in the computer sciences and change the world. She is the Director of Strategic Initiatives at the National Center for Women & IT, an organization seeking to increase women’s meaningful participation in computing and information technology. She is the driving force behind the NCWIT Award for Aspirations in Computing, a nationwide program for high school young women interested in technology and is the Chair of Computer Science Education Week 2012. Ruthe was formerly the national manager of STEM education at Girl Scouts of the USA and holds an MBA in Social Entrepreneurship from the University of Oxford Said Business School and part of her masters’ research including methods and results in Second Life.
