[08:56] Gentle Heron: We all know that distractions can prevent us from focusing on necessary tasks and decrease our effectiveness and efficiency as we try to work or study. Four overall strategies will help students and employees become intentionally more productive.

[08:56] Gentle Heron: Let’s look at each strategy, plus some tips for each. Probably this isn’t new to you; just a reminder.

[08:57] Gentle Heron: 1. The first strategy is to eliminate “reactive nibblers.”

[08:57] Gentle Heron: When you are working in reactive mode, always responding to new stimuli, you simply can’t focus on any important task. It’s not only the time you lose while responding, it’s also the time you take to switch gears and then switch back again.
[08:57] Gentle Heron: What are “reactive nibblers,” those little things that eat up your time a bite at a time? Please share a few in Local Chat now.

[08:59] Gentle Heron: Right. We all know what they are. These are the big ones for most of us:

Email and IMs
Phone calls
Social media
Visitors
[08:59] CarmenLittleFawn: hahah
[08:59] bulaklak: When you mean to fix one thing but find another unexpected typo or other thing that then leads down a rabbit hole to ten other things and a whole chain of command that is broken
[08:59] Gentle Heron: How can you keep them under control? Try some of these anti-distraction techniques.
[08:59] Gentle Heron: For email:
1. Turn off automated email checking. The pop ups or pings distract you even if you don’t check—but you probably will peek.
2. Alternatively, extend the lapsed time between checks. Set it to notify you at a time when you are ready to deal with all your emails at once.
[09:00] Gentle Heron: 3. You can even close or minimize your email app.
4. When responding to emails, focus on those sent TO you, not CCed to you.
5. Some email systems allow you to filter and/or color code your emails, to make it easier to find the priority items.
[09:00] Gentle Heron: For IMs:
1. Don’t forget to set your status indicator.
2. Customize your status indicator. “Cranky and on a tight deadline- interrupt at your own risk” may be more effective at blocking unimportant IMs than “Busy.”

[09:01] Gentle Heron: For phone calls:
1. Turn off the phone. Don’t even leave the cell phone on vibrate. Leave the cell phone in a different room. Turn off the landline ringer.

2. Set up a system. Perhaps you can assign a ring to family or the boss so you’ll know which calls you MUST take immediately.

[09:01] Gentle Heron: 3. Send calls to voice mail, and deal with them during a block of time you’ve set aside for listening to, prioritizing, and responding to all your calls.

4. See if a response is needed. Many calls don’t require a call back; maybe a return email would do.
[09:01] Gentle Heron: For social media:
1. Schedule check-in times. Try not to peek!

2. Use an automated service (e.g., HootSuite hootsuite.com) to send out scheduled posts. Write once, post several times.

[09:02] Gentle Heron: good idea, Glitter!
[09:02] Gentle Heron: For visitors:
1. Put a sign on the door. If you expect a delivery, let the delivery service know not to knock or ring the bell.
[09:02] Pathfinder Lester: I find Google Voice to be an outstanding tool for managing phone stuff. Voicemail-to-email transcription is pretty good too.
[09:02] Gentle HeronGentle Heron nods to Path.
[09:02] Gentle Heron: 2. If someone comes when you are busy, they may get the hint easier if you say “Sorry, I’m expecting a call,” rather than a more generic, “Sorry, I’m busy now.”

3. Even if you’re not listening to music, wear a headset to discourage visitors.
[09:03] Gentle Heron: 2. The second strategy for intentional productivity sounds simplistic, but it’s really foundational. Plan your work day.

There are lots of tools that can help us with this. You can buy expensive planner systems. But you don’t really need tools. Here’s what you can do.
[09:03] Gentle Heron: First, at the end of each day, write down at least the top three things you need to accomplish the following day. A full TO DO list can seem overwhelming, but is also useful if you might forget something important.
[09:03] Jerry Buchko: @Pathfinder, Ditto re: Google Voice
[09:03] Pathfinder Lester: “Plan your work. Then work your plan.”
[09:03] Gentle Heron: Yes Path!
[09:03] Gentle Heron: Keep a long-range calendar. Be sure to mark all deadlines and due dates. But also work backward from these end points, and mark where you need to focus on the steps necessary to achieve the objectives by the deadline.
[09:04] Gentle Heron: Throughout the workday, set short goals. Write down “the three next things” you need to accomplish, and finish those before you write up the next list of three things.
[09:04] Gentle Heron: If you get interrupted, or if you finish a subtask, make a note to yourself explaining what to do next.

A yellow stickie that says “Continue spell check from here” pasted onto the manuscript, or a note to “Call the client to give progress report” paperclipped to the draft plan will keep you on track.
[09:04] Oronoque Westland: just make sure that your to-do list is not part of the pop ups that you have now turned off
[09:04] Gentle HeronGentle Heron chuckles.
[09:04] Gentle Heron: 3. The third strategy is to create a productive working environment.

This has to be personalized, as we all have different needs. Basically, you want to make your working environment disappear, so that you can focus on the tasks and don’t get sidetracked by annoyances and distractions.
[09:05] bulaklak: This is great! I love planning tips.
[09:05] Gentle Heron: For example, some of us need absolute silence to really concentrate; others need background music.

Noise-canceling headphones work either way. You can also use ear plugs or a white noise generator. Whatever works best for you, use it!
[09:05] bulaklak: I also *really* love this tip from above “4. When responding to emails, focus on those sent TO you, not CCed to you.:”
[09:05] Gentle Heron: The same with all the other environmental variables: light level, temperature, chair and desk, etc.

One way to keep yourself focused on work is to be sure that the fun apps– Angry Birds, your recipe collection, whatever– are NOT on your work computer. Put them elsewhere, preferably in a different room.
[09:06] Gentle Heron: 4. The fourth and final strategy is to be aware of time, and yes Rhiannon, I am!
[09:06] Gentle Heron: A timer will help you focus. This can be the old fashioned wind-up kitchen timer, or an online tool like onlineclock.net
[09:06] Gentle Heron: Most of us can manage at least ten minutes of concentrated effort. Work up to 25 minutes of sustained attention.

The Pomodoro Technique (http://www.pomodorotechnique.com/) recommends 25 concentrated minutes followed by a 5 minute break. After four cycles of this, take a longer break.
[09:07] Oronoque Westland: I need to position the on screen clock where other apps don’t hide it
[09:07] Coughran Mayo: “always on top”
[09:07] Gentle Heron: (onlineclock will buzz even if you can’t see it Oro)
[09:07] Gentle Heron: When you begin a task, or start a meeting, note the time at the top of your paper. This visual reminder will keep you working and help you avoid “bird walking” away from the topic.
[09:07] Jerry Buchko: oh, fun apps are definitely one of those distractions i wrestle with sometimes
[09:08] Gentle Heron: Don’t go to unnecessary meetings! Sure you can’t avoid some. But if you see from the agenda that the topics aren’t relevant to your work, ask the meeting organizer if you can be sent the meeting notes afterward.
[09:08] Gentle Heron: Similarly, if you are in charge of the meeting, be sure it is scheduled at a time others can attend easily; always send an agenda ahead of time; and cancel the meeting if there’s nothing important to accomplish.
[09:08] Gentle Heron: Blockers and Aids are two different approaches to dealing with productivity issues. Blockers keep the distractions away from you.
[09:08] Gentle Heron: For instance, Leechblock (a Firefox add-on https://addons.mozilla.org/en-US/firefox/addon/leechblock/)

and DoNotDisturb (for Outlook http://www.clearcontext.com/user_guide/do_not_disturb.html)
[09:09] Gentle Heron: … will keep you away from those websites that steal so much of your time and attention. Other examples of distraction blockers are ear plugs, or putting your phone on mute.
[09:09] Gentle Heron: Aids help you manage distractions by encouraging you to work or study better.

These include calendars, dayplanners, TO DO lists, colored highlighters, and text substitution apps (see http://lifehacker.com/162484/save-time-with-text-substitution for some examples).
[09:09] Gentle Heron: It’s easy to get a great deal of stimulation in return for very little effort. How hard is it to find dumb cat videos on YouTube?

If it took a half hour to find one, or you had to pay to watch it, the impulse value is gone. MEMO: Don’t buy the candy at the check out aisle!
[09:10] Gentle Heron: Change the effort-to-reward ratio for low-value distractions. Make it harder to become distracted! Give yourself a chance to make a better choice, more time to think.
[09:10] Glitteractica Cookie: i close facebook when I’m trying to focus, b/c the notifications are too diff for me to resist checking

[09:10] Gentle Heron: Routines will make a difference in your productivity. In general, productivity aids work better than blockers, because it means your attitudes and behaviors have changed.
[09:10] Gentle Heron: What you want to do is be more mindful about productivity. Create new productive habits.

They say it takes 21 days of repetition to form a new habit. Pick one that we discussed today and do it consciously for 3 weeks. See if that routine makes a difference. I bet it will.

[09:11] Gentle Heron: For the next 3 weeks, try making being unproductive unproductive.

After studying journalism and comparative religion at Cal Poly, San Luis Obispo, Alexandra (Ale) Bezdikian was given a fellowship with Mother Jones Magazine where she produced videos as well as fronted their outreach communications department.
Currently, Ale is TechSoup’s Online Community + Social Media team Coordinator, and loving it! That means she keeps the team on track and in check, making sure everyone is meeting timelines and deliverables. Most of her time is spent wiki gardening and managing her team in Basecamp.

[09:14] alebez: I’d like to speak to you all about a project management tool that my team currently uses to manage our day to day activities, called Basecamp.

[09:16] alebez: It’s a tool I use every day, as do my colleagues here on the Online Community Team. For us, Basecamp does a fantastic job of managing all the content we produce during our planning and creating processes. It really helps to keep all our discussions easily accessible to members working on a project, and allows for transparent assignment of tasks.

[09:16] alebez: Have any of you heard of or used Basecamp in the workplace? I’d like to note that we’re using the most recent version of Basecamp, which differs slightly from Basecamp classic.

[09:17] alebez: Basecamp is a web based project management tool. It puts a whole team’s communication and work onto a single virtual page which displays your teams discussions, tasks, files, and documents, keeping everything stored in a single location online.

[09:18] alebez: This makes it incredibly easy to facilitate collaboration across a distributed team, and makes holding team members accountable all the more transparent.
[09:18] Pathfinder LesterPathfinder Lester also uses Highrise (contact management), made by the same folks who make Basecamp.

[09:18] alebez: By assigning ownership of tasks, and placing project deadlines on one unified calendar, each member of our team can see upcoming deadlines and track project deliverables. I’ll show you how in just a bit.
[09:18] alebez: Basecamp is a web-based tool which allows for multiple user access, and makes collaboration easy across a distributed team.
[09:19] alebez: After logging in to a Basecamp account, what you see is a dashboard of all the projects you have on your plate at a given time. You can then choose to navigate to the project you’re working on at the moment, and open the project folder to reveal team discussions, to-do lists, files, and text documents.
[09:19] alebez: After opening your project folder, you have access to view and participate in all your team’s discussions relating to that project, to-do lists with the option to assign ownership of tasks, share files and text documents.
[09:20] Buffy Beale: this sounds like a great tool!
[09:20] alebez: You can choose to contribute to a discussion thread, check out upcoming to-do’s, or download files relating to the project. This folder is meant to contain everything relating to the project at hand, and allows access to the team members you choose to work on the project.

[09:20] alebez: Collaboration is made easy through Basecamp especially through discussions.
[09:21] alebez: It’s easy to begin a new discussion thread, as it’s a lot like crafting an email. You’d give it a title as you would an email, write the content, and then choose which people on your team you want to notify.

[09:21] alebez: It’s not currently offered, Ethelred.
[09:21] alebez: Your discussion is public, so anyone invited to the project can join, but only those you choose will get an email notification. (you can sync up Basecamp notifications to your email account)
[09:22] alebez: Basecamp offers a versatile platform for assigning ownership of tasks and tracking deliverables.
[09:22] alebez: By keeping all yours tasks together, and individually assigning to-do’s to members of your project with due dates, you can easily track the progress of your team on the calendar, and manage deliverables accordingly.

[09:23] alebez: Because items can be assigned to individual users, it makes it easy to delegate and hand out responsibility for particular tasks. Each team member can then monitor their own to-do’s on their own personal pages and whose deadlines are factored into your team’s Basecamp’s calendar.

[09:24] alebez: So by assigning ownership of tasks, and placing project deadlines on one unified calendar, each member of our team can see upcoming deadlines and track project deliverables.
[09:24] alebez: Each project is color coded on the calendar, so when you assign a duration of time to a piece of a project, say for a social media campaign, it appears in this case in orange, and spans a number of weeks.
[09:24] bulaklak: The color coded calendar on Basecamp is my absolute favorite.
[09:25] alebez: For me personally, having one calendar that shows multiple aspects of what we do based on the categories we defined…
[09:25] alebez: whether those are events we’re producing on a given day, campaigns we’re running over a period of time, or upcoming deadlines to track, I can see everything from a birds eye view.
[09:25] alebez: Basecamp is not free.
[09:25] alebez: Pricing starts at $20/month for up to ten projects and 3GB of files, rising to $50/month for 40 projects and 15GB of files.
[09:26] alebez: $100/month for 100 projects and 40GB of files and maxing out at $150/month for unlimited projects and 100GB of file storage. All the pricing tiers have support for unlimited users.
[09:26] alebez: There’s also a no-credit-card-required 30-day free trial to try it out.
[09:26] Gentle Heron: They offer a 45 day free trial.
[09:26] alebez: I think it’s 30 days now Gentle
[09:26] bulaklak: (You can also turn any of the color coded projects on and off when you are looking at the calendar, which is even more awesome.. So you can see as much or as little as you want.)
[09:27] alebez: Some alternatives to Basecamp are Huddle and Asana, for example. Huddle is a paid service, and is offered here at TechSoup: http://bit.ly/SoT6mP for an admin fee of $99.00
[09:27] alebez: Huddle was mentioned by Bulaklak just a bit ago
[09:27] alebez: Our team used Huddle for a period of time, but ultimately didn’t like the fact that there wasn’t one unified calendar to view everything from a higher level, but instead required the user to toggle between multiple dashboards. Huddle’s user interface was also somewhat clunky.
[09:28] alebez: Basecamp’s proven reliability was a huge factor when choosing which tool to go with. We knew it could deliver most of what we were looking for, including a master calendar. Also points for the ability to access it mobile, and multiple entry points for collaboration. Also, a few of our team members had already used Basecamp, potentially making it easier to adopt.

[09:29] alebez: Asana looked like a good project management tool, can act as an interim crm, and does have an api, but doesn’t provide the crystal clear organization structure that I feel Basecamp does a better job at providing. It does however, have the capability of syncing to Outlook, and the interface is quite easy to navigate. Also, it’s free to set up an account (biggest points for asana here).
[09:29] alebez: Asana is a practicle and clean free service, one that I would recommend on a tight budget. I’ve heard good things about Asana.
[09:29] Glitteractica Cookie: on our team we tried so many PM tools, before settling on this one
[09:29] alebez: We sure did.
[09:29] alebez: We tried a whole lot.
[09:29] Glitteractica Cookie: and several before you joined the team too
[09:30] alebez: and ultimately, Basecamp fit our needs

[09:30] bulaklak: Yes, Alebez was not there for the CoHuman adventure.

[09:32] bulaklak: eRoom is expensive but it has really amazing version control
[09:32] Pathfinder Lester: We’re currently using Confluence at ReactionGrid. It’s working out very well for us. http://www.atlassian.com/software/confluence/overview
[09:32] Pathfinder Lester: And since it’s made by same folks who make Jira, the two integrate very well.
[09:33] Pathfinder Lester: That’s probably our biggest challenge…getting all the different tools we use to *integrate* with each other. ;P

[09:33] alebez: Now, can I answer any more questions, or any more questions to my team members who use Basecamp

[09:33] alebez: I really enjoy using this tool
[09:33] alebez: No, we have not.
[09:34] alebez: I haven’t expanded into the Basecamp app space

[09:36] Jerry Buchko: @Gentle, For the small collaborative teams I’ve worked with, e.g. delivering a MOOC, using the Google Calendars along with the other integrated tools, like Hangout, Doc, Talk, etc. have really proven effective

[09:01] Allene Sideways: Greetings, my name is Ruthe Farmer & I
represent the National Center for Women & IT and Computer Science
Education Week.
[09:01] Allene Sideways: I’ve been working in the gender & technology
world since 2001 when I joined the Girl Scouts as a STEM Program
Manager.

[09:02] Allene Sideways: I’m extremely passionate about equity for
women and girls and feel that meaningful participation of women in
technology is crucial to their economic security as well as the
quality of the technological innovations we create moving forward.
We can only imagine how the technical world will look once women have
an equal seat at the table. BTW SL has really great gender numbers in
terms of users.

[09:02] Allene Sideways: Slide 2
So why computer science?
[09:02] Allene Sideways: As you know it is Creative – Computing offers
the opportunity to create new technologies and imagine new worlds. If
you are a creative person – CS is a great way to use that in a career.
[09:02] Allene Sideways: It allows you to Solve Problems – no other
time in history has offered so much opportunity to have global impact.
Through technology we can address the great challenges of our time –
poverty, hunger, disease, space exploration. Individuals can make a
massive impact on the world.
[09:03] Allene Sideways: Scholarships – LOTS of scholarship money out
there for students interested in CS
Salaries – Computing jobs start around 60K for a new graduate and
median salaries are over 100K and…
[09:03] Allene Sideways: There are lots of Jobs – the US DOL predicts
1.4M new computing jobs by 2018 and right now there are two open jobs
in computing for every qualified person.
[09:03] Allene Sideways: Frankly the US needs more people in the
field. We live in an information economy that runs on technology, yet
our current educational pipeline will only produce 29% of the workers
needed to fill these jobs.

[09:04] Allene Sideways: Slide 3
So why is this a problem? The US has changed from a
farming/manufacturing economy to an information economy. Yet our
schools are essentially teaching the same curriculum that was
established in the late 1800’s – before modern technology existed.
[09:04] Allene Sideways: Computer science/technology is NOT a core
curricular course, it often does not count towards a math or science
graduation requirement, and is usually an elective course – competing
with art, music and languages. There is also a shortage of teachers
qualified to teach computing courses and no certification required.
[09:04] Allene Sideways: The National Center for Women & IT and
Computer Science Education Week are both working to address this
issue, seeking to improve the inclusion of women in the field and
increasing access to computing education for all students.

[09:05] Allene Sideways: Slide 4
One intervention we are really excited about is the NCWIT Aspirations
in computing program. This program identifies interested high school
girls and gives them the support and encouragement to continue.

[09:05] 01 Hifeng: seriously?? computer science isn’t mandatory in
american schools? wow

[09:05] Allene Sideways: Since 2007 we have inducted over 1500 young
women into this community and we are on target to recognize an
additional 1000 annually from here on out. The outcomes of this
program have been tremendous: 88% of participants enroll in a
traditionally male-dominated STEM major with 64% of girls majoring in
computer science.
[09:05] Allene Sideways: Yes, only 24% of US HS even offer it.

[09:06] Allene Sideways: And over 80% of participants report sharing
about the program or computing in general with younger girls.

We now have 55 local affiliate programs that serve girls around the
country in addition to a national level program. Girls are selected
and recognized locally, connecting them to peers as well as the
universities they might attend and companies where they might intern.

[09:06] Allene Sideways: At the same time all participants are invited
to an online community of peers which provides support, encouragement,
and connections to scholarships, jobs and opportunities.

Our evaluation shows that the small act of recognizing and encouraging
a girl’s talents really works. Girls report feeling more confident in
their tech skills, being more excited, and feeling less afraid.
[09:07] Allene Sideways: A favorite girl quote: “The experience for
applying for this award was a little doubtful at first, but eventually
I realized my experience in technology was noteworthy enough.”

[09:08] Biji Mornington: love that quote!

[09:08] Allene Sideways: BJ is familiar with this program
[09:08] Allene Sideways: Me too – heartstrings

[09:08] Allene Sideways: So on to encouragement – Slide 7
A colleague told me a story about her freshmen Intro to CS course –
that she took only because she couldn’t get into a different class.
She had intended to major in econ.
[09:08] Allene Sideways: Then her professor wrote on one of her exams
“Great job. Do you have a major? Come see me.” That small act of
encouragement changed her life and cost the professor nothing but the
effort to write it.
[09:09] Allene Sideways: There is significant power in words,
especially from an outside trusted source (i.e. not a parent). The
simple act of overly recognizing a student’s potential goes a long,
long way.
[09:09] Allene Sideways: When I speak to young people, I talk about
encouragement and promotion. I recommend they encourage THEMSELVES and
peers. It is easy, costs little and can only help.
[09:09] Allene Sideways: I also recommend they promote themselves and
promote others – so when an opportunity comes up – nominate yourself
or a friend. “Hey, my friend Jasmine is a great programmer, you should
put her on the team.”
[09:09] Allene Sideways: This is how the world works, how networks are
created and teams are built. I am working hard to encourage girls to
step up and ask for the opportunities they want and deserve – or
create them.

as part of science, and that writing includes technical writing, so
there are a lot of other people who see the need in the US for
computer science in schools.

encourage more of this dialog?
I know when I was in HS and college I was the only girl in my
architecture and computer classes. And, people are always surprised
when they take my computer classes, they seem to start with “Oh, you
are the instructor!”

[09:21] Allene Sideways: First, if you have young women in your
classes, pay attention to how they are doing.
[09:21] Allene Sideways: Don’t call them out as special, but make sure
they are being included.
[09:22] Allene Sideways: It is helpful to just inform people. Most are
unaware of the issue and conflate using computers with creating
innovation/technology.
[09:23] Allene Sideways: I’ve had conversations w/ businessmen on the
plane who say “what about women in technology” when I tell them what I
do.
[09:23] Allene Sideways: Most people just aren’t aware of the problem.
[09:23] Allene Sideways: but consider this: MOST of the technical
world around is being built w/o the input of 1/2 the population
[09:23] Allene Sideways: this is a problem
[09:24] Allene Sideways: First, because we aren’t getting the best
solutions possible (the first VM hung up on female voices bc it hadn’t
been designed by any women or tested w/ women)

[09:24] Biji Mornington: wow

[09:25] Allene Sideways: Second, we aren’t addressing the full suite
of problems that need to be solved because the design team is not
representative of the population

[09:25] Zinnia Zauber: Question: Are there more women using virtual
worlds and social media?

[09:25] Allene Sideways: Yes, social media has a lot of women and last
I heard SL was more than 40%
[09:25] Allene Sideways: could be different now
[09:26] Allene Sideways: We are excited about social media as a
possible avenue of women to move into tech jobs

[09:26] Biji Mornington: There are tons of experienced women in social
media and yet the men are still dominant as “the experts”

[09:26] Zinnia Zauber: Question: Could you please share with us your
biggest takeaway from your research in Second Life?

[09:26] Allene Sideways: also, social media is becoming more
sophisticated and demands more technology as it moves into mobile and
whatever comes next
[09:27] Allene Sideways: I have a team of 31 girls building a mobile
social app to connect tech minded young women
[09:27] Allene Sideways: It is an Android – they will be presenting it

were using SL for educ purposes

[09:29] Allene Sideways: SL is a great platform for people with disabilities

[09:29] Allene Sideways: both for research by researchers w/
disabilities and to mitigate bias
[09:30] Allene Sideways: Also, at CU Boulder they are teaching CS 101
for nonmajors using SL and LSL
[09:30] Allene Sideways: they have seen the class grow from 20
students to 90 students
[09:30] Allene Sideways: and it is now 40% female
[09:31] Allene Sideways: I think there is something about the creative
aspect of building in 3D that attracts a more diverse student
population

in afterschool programs, it was the boys who wanted to use the
computers. But it was also clear that as soon as there was something
to DO with the computers that girls found interesting, they’d be just
as excited, and so it turned out. Hopefully this will continue at
higher levels of education & on. But if girls don’t learn to program,
they won’t be able to work on every level of creating the programs
that they find interesting.

On Friday, August 31, Ruthe Farmer will share how the Power of Encouragement can improve participation in the computer sciences and change the world. She is the Director of Strategic Initiatives at the National Center for Women & IT, an organization seeking to increase women’s meaningful participation in computing and information technology. She is the driving force behind the NCWIT Award for Aspirations in Computing, a nationwide program for high school young women interested in technology and is the Chair of Computer Science Education Week 2012. Ruthe was formerly the national manager of STEM education at Girl Scouts of the USA and holds an MBA in Social Entrepreneurship from the University of Oxford Said Business School and part of her masters’ research including methods and results in Second Life.

a special interest group that was called at DiGRA in 2007…DiGRA is
the Digital Games Research Association….

ethnography for games and virtual worlds
[08:56] Artemesia Sandgrain: the room was completely packed….and
most of the people came because they wanted to know how to do it!
[08:57] Artemesia Sandgrain: Then Tom and Bonnie had organized an
event at UC Irvine, where they both work….
[08:57] Artemesia Sandgrain: and we kept noticing that people were
describing as “ethnography”
[08:57] Artemesia Sandgrain: methods…or in some case a lack of method…
[08:57] Riven Homewood: 🙂
[08:57] Artemesia Sandgrain: it was kind of being used as a catch-up
for just coming in world and watching people

do strange things such as deceive subjects or create inworld
experiments

[08:58] Riven Homewood: Some of those folks were pretty scary,
especially to a new avatar

[08:59] Artemesia Sandgrain: …so the four of us got together and
decided to do something about it!

[08:59] Artemesia Sandgrain: 🙂

[08:59] Tom Bukowski: Shall I say a bit about the writing of the handbpok?

[08:59] Artemesia Sandgrain nods

[08:59] Tom Bukowski: So as Celia noted, we realized this was a needed thing
[08:59] Tom Bukowski: that just calling something “ethnography”
doesn’t make it so
[08:59] Tom Bukowski: and people were in some cases doing unethical stuff, etc.
[09:00] Tom Bukowski: but also that some of the quantiative folks who
were less friendly to ethngoraphic stuff
[09:00] Tom Bukowski: were pointing a tthe random people claiming to
do ethnogrpahy
[09:00] Tom Bukowski: and saying “THAT is all qualitative methods get you”
[09:00] Tom Bukowski: So every writing project
[09:00] Tom Bukowski: involves all kinds of choices, limitationg
[09:00] Tom Bukowski: because you can’t do everything
[09:00] Tom Bukowski: and we made two BIG ones
[09:00] Tom Bukowski: that I think worked great.
[09:01] Tom Bukowski: First, the idea of a handbook on ethnographic
methods for viws
[09:01] Tom Bukowski: We actually went back to the original definition
of handbook
[09:01] Tom Bukowski: something you carry with you, into the field

[09:01] Tom Bukowski: so gotta be able to lift it with a hand, even an
avie hand lol
[09:01] Tom Bukowski: so we worked hard to keep it short
[09:01] Tom Bukowski: not like some of those “handbooks” that are 800 pages long
[09:01] Tom Bukowski: and try to be evrything to everyone
[09:02] Tom Bukowski: so to keep it short, we focused on ethnographic methods
[09:02] Tom Bukowski: even though some of us to quantiative reseach
too (Celia’s very good at that and is doing a cool vw survey right now
btw)
[09:02] Tom Bukowski: also fhte focus on vws
[09:02] Tom Bukowski: so sl, WoW, etc
[09:02] Tom Bukowski: but not Facebook, not email, not mobile phones, etc.
[09:02] Tom Bukowski: All very interesting, but we had ot make choices.

[09:02] Tom Bukowski: So that focus was the first big decision
[09:02] Tom Bukowski: yes, Thank you Celia
[09:03] Tom Bukowski: Second one, which was REALLY cool, is the form
[09:03] Tom Bukowski: we started off thinking maybe an edited volume
[09:03] Tom Bukowski: but we realized wouldn’t work because we 4
really wanted to draw from our fieldwork experiences
[09:03] Tom Bukowski: (If you haven’ tread Celias book Communities of
Play you should it is awesome)
[09:03] Tom Bukowski: And you can check out my book Coming of Age in SL too
[09:03] Tom Bukowski: so anyway, we wanted to draw on all that
[09:04] Tom Bukowski: so decided it would be the 4 of us as authors
[09:04] Tom Bukowski: and started wthinking we’d each do chapters, etc.
[09:04] Tom Bukowski: but started writing together more and more
[09:04] Tom Bukowski: and made the HUGE decision
[09:04] Tom Bukowski: that the book, the whole thing, is collectively authored
[09:04] Tom Bukowski: we wrote the whole thing on google docs, and it
is in one voice
[09:04] Tom Bukowski: there is no Celia chapter or Tom chapter, etc

flow works really well as a result

themese in the chapters real quick and then Q&A?

history of both ethnography and virtual worlds
[09:06] Artemesia Sandgrain: We all felt this was important because
ethnography has a very rich history…
[09:06] Artemesia Sandgrain: it’s been around for more than a century
as a scientific method
[09:06] Artemesia Sandgrain: or set of methods rather
[09:06] Artemesia Sandgrain: …and also we find that the newness of
virtual worlds tends to create this historical amnesia
[09:07] Artemesia Sandgrain: so we wanted people to be aware that
these things have been around for two decades
[09:07] Artemesia Sandgrain: and also point to some of the early
writing and research that was done
[09:07] Artemesia Sandgrain: We also attempt early on to tackle “Myths
about Ethnography”

[09:07] Tom Bukowski notes if you’ve never read Celia’s earlier book
“The Interactive Book,” it’s just wonderful

quantitative researchers were making somewhat disparaging remarks
about ethnography
[09:08] Artemesia Sandgrain: and there are a lot of myths and
misconceptions about it that we wanted to refute

[09:08] Tom Bukowski ethnography = talking about yourself (for instance)

[09:08] Artemesia Sandgrain: So for those of you who have been doing
ethnographic research, you have something to defend yourselves with
now!

[09:08] Gentle Heron: That would make a book in itself!

[09:08] Artemesia Sandgrain: One of the most egregious is that
Ethongraphy is unscientific

[09:09] Maerian Dagger: (now we can be told to get a life in yet
another context, lol)

[09:09] Artemesia Sandgrain: Anyway I won’t go into details about that
but it’s a useful section.
[09:09] Artemesia Sandgrain: Tom why don’t you talk about the specific
methods chapters…

[09:09] Tom Bukowski: Can’t remember the order for sure lol
[09:09] Tom Bukowski: but briefly so we can get ot the Q&A…

[09:09] Artemesia Sandgrain: Yes…

[09:09] Tom Bukowski: We wanted to offer advice on the whole process
[09:10] Tom Bukowski: So we start with research design
[09:10] Tom Bukowski: You can’t do everything – what will you focus on?
[09:10] Tom Bukowski: How will you decide?
[09:10] Tom Bukowski: Then we talk about participant observation
[09:10] Tom Bukowski: Which note is not the same thing as just
leveling to 60 in WoW lol
[09:10] Tom Bukowski: and then interviews, focus groups,
[09:10] Tom Bukowski: archival work, when you might or might not want
to meet some interlocututors offline, etc

[09:11] Artemesia Sandgrain: One thing we focus on heavily is data collection
[09:11] Tom Bukowski: Then sections – two chapters – on ethics and
human subjects
[09:11] Artemesia Sandgrain: what kind of datat you actually want to collect
[09:11] Tom Bukowski: then some chapters on how to write up the
results of your research,

[09:11] Tom Bukowski: and particularly the issue of generalization

[09:11] Artemesia Sandgrain: Oh yes! Very important the human subjets stuff!

[09:11] Tom Bukowski: “So you just talked to these 50 or 100 people,
how do you know that it applies more broadly?”
[09:11] Tom Bukowski: That kind of thing, how to address that and
think about scope of claims
[09:12] Tom Bukowski: So you do’t overgenerlizat,

[09:12] Artemesia Sandgrain: …and also drawing in other researchers’ work.

[09:12] Tom Bukowski: *overgeneralize
[09:12] Tom Bukowski: But also don’t sell yourself short
[09:12] Tom Bukowski: and yes as Celia said, the importance of
colleagues and collaboration

[09:12] Gentle Heron: That’s a balance.

[09:12] Tom Bukowski: So we really had fun doing it and hope that
others will find it useful
[09:12] Tom Bukowski: It was certainly a great experience for the 4 of
us and something very different than what we usually get to do

guide…very nuts and bolts on how to do it.

you can’t learn in the physical world?

they are here to stay

[09:16] Tom Bukowski: computers, in education, medical, gaming
[09:16] Tom Bukowski: and ethnographers – we have to follow the culture
[09:16] Tom Bukowski: so if people are doing stuff online, we gotta
learn how to study that
[09:16] Tom Bukowski: and then also because we can learn about human
nature, human culture, so many things through vws

[09:16] Artemesia Sandgrain: Yes and if I can add something…

[09:16] Tom Bukowski: just one quick thing
[09:16] Tom Bukowski: just was gonna add quickly

[09:17] Tom Bukowski: so for instance, how people talk about but also
do gender in a vw, when you can change gender easily in many ways,

[09:17] Tom Bukowski: that can tell us something about how people
think about gender in the physical world, because those ideas are
getting brought into the vw context and played with, transofrmed

[09:18] Artemesia Sandgrain: Much of what we do is driven by specific
research questions and these differ

background….
[09:18] Artemesia Sandgrain: he has a framework for understanding how
cultures work and is interested in how they work in simulated
environments such as this
[09:18] Artemesia Sandgrain: Whereas my background is as a game designer

[09:18] Gentle Heron: Maerian, I’m not sure there isn’t overt and
covert racism in virtual worlds, much like in the physical world.

[09:18] Artemesia Sandgrain: so my research questions tend to revolve
around the software design
[09:19] Artemesia Sandgrain: I’m interested in how people’s behavior
in groups intersects with the software design

[09:19] Riven Homewood: Sometimes racism takes different forms here
too – like discrimination against tinies or furries

[09:19] Artemesia Sandgrain: I’ve done a lot of comparative work
between Second Life and There.com for instance

[09:19] Maerian Dagger: true, different expressions and ultimately
meaningless. l

[09:19] Artemesia Sandgrain: Yes Riven let’s get to that in a minute!

[09:19] Maerian Dagger: fluidity is what I was refering to in context of gender.

[09:19] Artemesia Sandgrain: So what’s important is driven often by
our own research interests and areas of inquiry.

[09:20] Oronoque Westland: @Maerian…would you elaborate please…I
hear many claim that race has no meaning in VWs…I wonder how we can
explore that claim from an ethnographic perspective in a VW to test
its validity?

[09:20] Tom Bukowski nods

[09:20] Artemesia Sandgrain: I would like to tackle that question of
“racsim” as well
[09:20] Artemesia Sandgrain: One of the areas that I’ve researched is
“fictive ethnicity”
[09:20] Artemesia Sandgrain: I define this as an ethnic identity that
people adopt

[09:20] Artemesia Sandgrain: in a fictional or fantasy context

[09:20] Maerian Dagger: there we go Artemisa. very interesting

[09:20] Gentle Heron: Nany knows ALL about that!

[09:21] Artemesia Sandgrain: who were discriminated against when they
came to There.com
[09:21] Artemesia Sandgrain: just as real world refugees are often
descriminated against
[09:21] Artemesia Sandgrain: And there we can see an issue for
instance with shared resource…
[09:21] Artemesia Sandgrain: they were were a large group and caused a
lot of lag
[09:21] Artemesia Sandgrain: and this created some hostility from
their neighbors
[09:21] Artemesia Sandgrain: Tom and I have both noticed that furries
hare discriminated against in here.

[09:22] Tom Bukowski: yep…

[09:22] Artemesia Sandgrain: Tom maybe you can talk a little bit about
this as well…

[09:22] Tom Bukowski: Sure – just one quick thing
[09:22] Tom Bukowski: Many people who study race in the physical
[09:22] Tom Bukowski: world

[09:22] Lowri Mills: I have found that a global community of all
ethnic groups is more harmonious in a virtual world. Countries that
war, have individuals that work together, without politics of their
countries.

[09:22] Tom Bukowski whispers: Have talked about the idea of “racism
without race
[09:22] Tom Bukowski: That at a genetic level, we are on clines, there
are not distinct races, but racism is nonetheless real as are racial
identities

[09:23] Gentle Heron nods to Lowri…. and encourages her to share her
background and why she can speak to that.

[09:23] Tom Bukowski: and looking at what happens with race in a place
like sl, and as people noted how it can link up to even things like
speciies, gender…
[09:23] Tom Bukowski: that tells us something about the range of human
possibilities for discrmination that could be illuminating for both
vws and the physical world….

[09:23] Lowri Mills: I manage a school that has over 69 countries
represented and have for over 5 years.

[09:23] Tom Bukowski: stopping for now, Celia add more if you want and
also I think we ahve time for a couple moe questions…

[09:23] Artemesia Sandgrain: Yes and some of the research on community
talks about the fact that communities are by definition
exclusionary…to have an in-group you always have to have out-groups.

[09:24] Tom Bukowski: But how that “in and out” works can varyt

[09:24] Maerian Dagger: have you done some work about age and virtual
erm…phenotype?

[09:24] Tom Bukowski: some groups are more porous then others – why?

[09:24] Pooky Amsterdam: when people say everyone is beautiful here –
I htink well it just means a level playing field & then its not about
beauty anymore but WHO you are inside

[09:24] Gentle Heron: Although we humans clearly see and distinguish
among and discriminate against physical characteristics of other
humans, and although most humans can not distinguish one orangutan
from another orangutan, there is far less genetic variability in the
human genome than among the genomes of the great ape species.

[09:24] Artemesia Sandgrain: I’d like to address the question about age
[09:25] Artemesia Sandgrain: since that’s an area I’ve done quite a
bit of work in
[09:25] Artemesia Sandgrain: I’ve done several studies of players
primarily in the Baby Boomer demographic
[09:25] Artemesia Sandgrain: and found that this is a major population
in virtual worlds
[09:25] Artemesia Sandgrain: In fact I”m doing a demographic study right now!

[09:25] Gentle Heron hopes you are looking at disability status, Celia.

[09:26] Riven Homewood: LL won’t like that 🙂 – They work very hard
not to portray SL as an old folks world

lot of Baby Boomers playing games and in virtual worlds

types which have a major role in why they are here.

[09:26] Oronoque Westland: yes, I am a boom boom boomer

older players are contributing to creative production here at a much
higher level than younger playres.

[09:27] Artemesia Sandgrain: Older players are more likely to be creative.

[09:27] Gentle Heron: We have so much more to draw from, Celia!

[09:27] Fleep Tuque: Question: Do you find that acceptance of virtual
ethnographies is growing, or as virtual worlds have sort of faded as a
fad, do you find it more challenging (in academia and elsewhere) to
have this kind of work published?

[09:27] Tom Bukowski: I can answer that

[09:27] Fleep Tuque: (Sorry have to go afk for a min, wantd to get it

[09:27] Tom Bukowski: and then Celia can chime in

[09:28] Tom Bukowski: So first of all – it’s that hype cycle thing –
we are going through the trough of disappointment lol

overestimetae the short term impact of new technologies and
underestimate the long term impact

Games conference that we have emerged from that phase, according to
Gartner

[09:28] Tom Bukowski: so I don’t think vws will be a fad, in various
forms they are around and growning

[09:28] Tom Bukowski: And it’s precisely when we get past the fad
stage we can start asking interesting questions

really only one or two journals to publish in

some specializing in virtual worlds

more open to what we do….

the book at the Association of Itnernet Researchers conference

world so-called “fad”

believe the hype.
[09:33] Artemesia Sandgrain: For instance…
[09:33] Artemesia Sandgrain: Second Life was never as popular as
Linden’s PR machine mad it out to be
[09:33] Artemesia Sandgrain: and it’s certainly not unpopular now.

[09:33] Riven Homewood: Do you find that students actually are
interested? I hear so much about how young people hate SL

[09:33] Artemesia Sandgrain: Second Life is not the only virtual world

[09:33] Artemesia Sandgrain: They are also interested in games, and
worlds like Habbo

[09:33] Tom Bukowski: Yep, they don’t always find sl interesting but
it’s the general topic.

[09:34] Artemesia Sandgrain: But I have students who are very
interested in SL as well.

[09:34] Tom Bukowski: Anthropologists spend years studying say a small
community in the mountains of Laos, and not everyone cases about Laos,
but the lessons learned from the research can have broader
implciations

Virtual Vision 2020, an initiative to develop a plan for the Second
Life community.

years of experience in public works, most of which was spent working
in local government.
[08:57] Zinnia Zauber: Since joining Second Life in late 2006, she has
been exploring how to leverage virtual world technology in delivering
engineering and government services.

virtual communities by applying planning concepts traditionally used
for physical spaces.

having me here today

[08:59] Pam Broviak (pam.renoir): Let me first share a general
explanation of what Virtual Vision is all about:
[08:59] Pam Broviak (pam.renoir): Virtual Vision 2020 is an attempt to
capture the community’s thoughts, ideas, opinions, and goals for
Second Life.
[08:59] Pam Broviak (pam.renoir): Modeled off the community planning
process that takes place in communities all across the world, this
virtual plan can help the Second Life community define itself, set
goals for its future, and offer a roadmap for success.
[09:00] Pam Broviak (pam.renoir): Before starting down this road, it’s
important to explore this question: What is a community plan?
[09:00] Pam Broviak (pam.renoir): To paraphrase an ICMA’s publication,
A community plan helps people anticipate and prepare for their
collective future.
[09:00] Pam Broviak (pam.renoir): More specifically it explains why
the plan is needed, identifies community goals and objectives,
compares options and sets priorities, and suggests actions and
solutions and explores how well they might meet expectations of the
community.
[09:01] Pam Broviak (pam.renoir): It also identifies who might be best
positioned to carry out those actions or implement those solutions.
And finally it presents a method to measure the success of the plan.
[09:01] Pam Broviak (pam.renoir): I was wondering if any of you have
participated in a community plan in your city or county?

community.

timeline for your plan

Management Association

to management of communities

island. I was involved with the planning for the community then.

what was the timeline for your plan

[09:04] Ozma Malibu: wow Pam this is good timing, I am setting out to
organize my RL community so our SL gallery can manifest in a RL
historic district, first have to complete all the local paperwork as
we have national status now.
[09:05] Ozma Malibu: I am all ears. eyes.

[09:05] Pam Broviak (pam.renoir): Ozma – that is awesome! I believe
there is benefit to a RL/SL experience in planning
[09:05] Pam Broviak (pam.renoir): we have much to learn from each environment
[09:06] Pam Broviak (pam.renoir): So one question that might be asked
in here is: But why do we need a plan?
[09:06] Pam Broviak (pam.renoir): Again from ICMA, communities are
layers of human interaction and activity.
[09:06] Pam Broviak (pam.renoir): And these interactions can lead to a
community’s confusion about its identity and purpose when they as a
whole occur with no guidance, purpose, or goal in mind.
[09:06] Pam Broviak (pam.renoir): This also leads to a future vision
that is unclear and not defined.
[09:06] Pam Broviak (pam.renoir): One consequence is that people
become hesitant about investing time and money in that community.
[09:07] Pam Broviak (pam.renoir): Obviously not every action occurring
in a community is done for the purpose of carrying out the plan’s
objectives.
[09:07] Pam Broviak (pam.renoir): But if no actions take place with a
plan in mind, the community risks adequately providing for its
success.

[09:07] Gridjumper (tanya.smedley): Looking at the time zones one
possible solution would be to work with colleagues in differnt time
zones to make most use of space – leverage $$
[09:07] Gridjumper (tanya.smedley): while some sleep other use the sapce
[09:07] Pam Broviak (pam.renoir): exactly – it is a huge advantage of
the virtual space we can leverage

[09:08] Pam Broviak (pam.renoir): While much of this happens on a
subtle level, I’ll give one of the more obvious examples of why this
is important.
[09:08] Pam Broviak (pam.renoir): Take Las Vegas – what do we think of
when we hear Las Vegas? That community spent years developing that
image.
[09:08] Pam Broviak (pam.renoir): What do all of you think of when you
hear Las Vegas?

[09:08] Gridjumper (tanya.smedley): gambling

[09:08] Oronoque Westland: losing my money

[09:08] Pam Broviak (pam.renoir): 🙂

facility focusing on the study of corn and soybeans, would the lot
next to the Bellagio be a good investment as a future location for
your business?

[09:10] Gridjumper (tanya.smedley): It has an identity for sure

[09:10] Pam Broviak (pam.renoir): Probably not.
[09:10] Pam Broviak (pam.renoir): And if you had any doubts, you could
be sure of this by studying that area’s community plan.
[09:11] Pam Broviak (pam.renoir): So while plans can drive investment,
they need to help ensure the most successful investment will take
place.

school districts in the country – Clark County

place – it’s a great place, but maybe not so much for other types of
uses

because of the strip so many children
[09:12] bulaklak: Fascinating. Never thought of Vegas in terms of
identity management before, but I’ll never look at it without that
lens again.
[09:12] Pam Broviak (pam.renoir): A community’s identity is critical
for its economic development

[09:12] Gridjumper (tanya.smedley): Hmmm so is SLs identity a problem for us?

[09:12] Pam Broviak (pam.renoir): Yes, Gridjumper, This will be a
critical component of a plan for Second Life.

[09:13] Buffy Beale: good question Tanya

[09:13] Pam Broviak (pam.renoir): Zinnia – you can change the slide
[09:13] Pam Broviak (pam.renoir): In developing a plan for the Second
Life community, it seems logical to follow the process used in the
physical world.

[09:13] Gridjumper (tanya.smedley): SLs identity is tied to LInden and
what they see as their future – do we know what that is?

[09:13] Pam Broviak (pam.renoir): Grid – that is the challenge and why
I had hoped they would participate in this effort. But I do not see
that happening

[09:13] Gentle Heron: We may be seeing hints with the link to Steam.

[09:14] Gridjumper (tanya.smedley): They are certainly watching
[09:14] Gridjumper (tanya.smedley): if not participating

long time, and there are many examples to follow. However, we need to
adapt it to our virtual environment.
[09:14] Pam Broviak (pam.renoir): These are the categories I’ve set up
so far to try to capture the most important sectors without getting
too detailed.

[09:15] Buffy Beale: One category I would think is Recreation (fun stuff)
[09:15] Buffy Beale: ohh silly me I see it now 🙂 scratch that

[09:15] Pam Broviak (pam.renoir): yes recreation is a critical
component for our quality of life

[09:16] Gridjumper (tanya.smedley): Bandwith is a necessity

[09:16] Pam Broviak (pam.renoir): i would definitely be interested in
feedback on these
[09:16] Pam Broviak (pam.renoir): yes, i would place bandwidth in the
infrastructure and services category
[09:16] Pam Broviak (pam.renoir): Next slide please 🙂
[09:17] Pam Broviak (pam.renoir): And this slide lays out the general
steps we will follow in developing the plan.

[09:17] Pam Broviak (pam.renoir): Right now, we are in the beginning phases.

[09:17] Ozma Malibu: there are 2 kinds of education going on:
SL-related (highly necessary) and educators from outside investigating
how SL can contribute to RL/distance ed
[09:17] Ozma Malibu: the latter are having trouble with financing now

[09:17] Thynka Little: the SL business plan and the community plan
would not be one and the same.

[09:18] Pam Broviak (pam.renoir): Exactly Ozma – education of us both
for RL and SL and us using education for RL purposes
[09:18] Pam Broviak (pam.renoir): Thynka – I believe you are correct –
although the plan for the community can address the business side of
it, a more detailed plan would help the business aspect much like a
downtown plan is used as a subplan for RL spaces

[09:19] Oronoque Westland: ? – Pam pls clarify who “we” is

[09:19] Pam Broviak (pam.renoir): for the plan? the we would be anyone
on the planning team – it is a volunteer effort open to anyone who
wants to help

[09:20] Merlin Moonshadow: How do you propose to implement the plan?
Test communities that might then become part of an overall community?
Obviously, there won’t be a full implementation without Lindn Lab’s
support.

[09:20] Pam Broviak (pam.renoir): so far I have only a few volunteers
– Thynka, Sandy Adam, and Eric Hackathorn

[09:20] Oronoque Westland: thank you

[09:21] Pam Broviak (pam.renoir): Merlin – you are correct – the best
implementation would have the support of LL because only they can
accomplish some of the goals. The plan should identify the best group
for implementation of each objective/goal
[09:21] Pam Broviak (pam.renoir): Then it would be up to those groups
to accept the responsibility for working towards that goal
[09:22] Pam Broviak (pam.renoir): Just like a RL plan that might
identify land owners or organizations, in the end only they can choose
to implement the suggestions
[09:22] Pam Broviak (pam.renoir): So far we’ve had two workshops that
Georgianna Blackburn and I hosted at SL9B. And we are planning to host
many more.

[09:23] Merlin Moonshadow: And there’s still value in a voluntary
grass-roots effort to build a community plan.

[09:23] Magic Pathfinder (any1.gynoid): I would like to help this
effort. I think about these issues constantly.

[09:23] Pam Broviak (pam.renoir): Yes, Merlin that is what I finally
realized after watching SL9B

[09:23] Ozma Malibu: do you have RL educators involved, who are trying
to hang on here?

[09:24] Pam Broviak (pam.renoir): It would be great to have as many of
you as possible help develop this plan- I really believe it would help
all of us so much as a community

[09:24] Oronoque Westland: I am hanging on by a thread

[09:24] Sarvana Haalan: It has been an uphill effort… with so little
funding 🙁

[09:24] Pam Broviak (pam.renoir): Ozma – I have talked to some people
in the education community – they are a vital component of this plan.
But I haven’t yet had a chance to present the idea to them

[09:24] Gridjumper (tanya.smedley): There is a group of educators
associated with ISTE (SIGVE) they have a small space and there are
higher ed communities here and there

[09:25] Zotarah Shepherd: ISTE used to have 4 sims and weekly speakers
and a inworld TV show

[09:25] Oronoque Westland: @Pam, perhaps you could present this idea
to a VWER round table

[09:25] Pam Broviak (pam.renoir): Education is critical for our
success as a community – just as true here as in RL

monthly speakers

and hope that some educators would volunteer to be on our planning

and Something I hadn’t initially considered, but quickly realized was
the amazing amount of constructive feedback the Second Life community
provides online.

[09:28] Ozma Malibu: We are losing our education island end of
December unless we find 2 more ppl/groups willing to share. just btw.

[09:28] Pam Broviak (pam.renoir): It will be so helpful to capture
that information and use it in the development of the plan. This is
something that does not yet happen in our physical communities, but
hopefully someday will.

[09:28] Merlin Moonshadow: Since SL is a community of communities, how
can we define one single community to base a plan on?

[09:29] Pam Broviak (pam.renoir): Merlin – that is a great question i often see

[09:29] Ozma Malibu: a community of interwined communities, really

[09:29] Thynka Little: certainly parts of it are very vocal, and this
initiative would be looking to draw out participation from as broad a
user base as possible

[09:29] Pam Broviak (pam.renoir): I guess I have approached it as we
do in our physical communities

[09:29] Gridjumper (tanya.smedley): perhaps a database of all the
islands and timeframes of rent running out

[09:29] Pam Broviak (pam.renoir): That is true Thynka

[09:29] Sarvana Haalan: Would th eplan help connect the communities
for collaborative activities?

[09:30] Gridjumper (tanya.smedley): If ppl have a similar purpose but
are using the same during differnt times it could work

[09:30] Pam Broviak (pam.renoir): Yes Sarvana – it could very much
help provide a plan for assisting with those types of efforts which
might be critical to our success

[09:30] Pam Broviak (pam.renoir): Ok, so Once we have collected
feedback, we can create a draft plan. Then we’ll throw it out to the
community for review and comments. We can revise the plan based on the

follow the progress of the plan on the Virtual Vision 2020 Website at

[09:32] Pam Broviak (pam.renoir): The last two things I want to
mention are that the plan will be published as a public domain
document – it will be most useful if there is no specific owner of the
plan.
[09:32] Pam Broviak (pam.renoir): and again I want to add that this is
a volunteer effort by the community and not affiliated with Linden Lab
in any way. Although I believe it would be beneficial to have their
involvement, and I tried to propose the idea to them, they expressed
no interest at all in leading the effort.

interest in following?

[09:33] Pam Broviak (pam.renoir): We have a few minutes left for

participate somehow – maybe eventually LL will

[09:34] Gridjumper (tanya.smedley): Lots of educational comunities have moved
[09:34] Gridjumper (tanya.smedley): mostly due to pricing

[09:34] Pam Broviak (pam.renoir): I do believe eventually in OS we
will have to do the same thing. We are working on a community plan
right now in MOSES

[09:35] Sarvana Haalan: any plans for Kitely?

[09:35] Gridjumper (tanya.smedley): Well it could start with support –
for and among eachohter

[09:35] Pam Broviak (pam.renoir): I think Kitely is a great service
and very useful. Once they interconnect the sims it will also become
more of a regular community and could eventually benefit from a plan

[09:35] Gridjumper (tanya.smedley): i believe that was on your list

[09:37] Pam Broviak (pam.renoir): Gridjumper – because the edu
community is so large and active, they probably would benefit from a
plan like Thynka suggested for the business community. That plan would
probably look at all worlds in its implementation.

[09:37] Oronoque Westland: ? – is there a need to clarify the
perspective the plan is coming from…seems to me we are more
advocates than we are community planners

with “doubting” colleagues when discussing our virtual “community”

distinct from any particular platform

RL doesn’t mean we belong to the same community (or communities). Only
in the sense that we both pay taxes to the same entity, which gets to
make a “community plan” that affects how they run a sewer line to both
of us. We don’t either one of us get to choose the sewer line. The
tax-collecting entity does that.

[09:04] Gentle Heron: I had planned to present today with my colleague
iSkye Silverweb.

[09:05] Gentle Heron: Today we’re going to take you behind the scenes
of our recent IDRAC2012 Conference, that we held last weekend, August
3 and 4.
[09:05] Gentle Heron: We’ve had several other conferences at Virtual
Ability, so putting on a conference was not new to us, but last year
was the first year for something bigger.
[09:05] Gentle Heron: Virtual Ability’s corporate mission is to “to
enable people with a wide range of disabilities by providing a
supporting environment for them to enter and thrive in online virtual
worlds.”
[09:06] Gentle Heron: Within that mission, we provide lots of
information and advocacy for our community members, as well as doing
outreach on the importance of disability issues to the general
population in virtual worlds.
[09:06] Gentle Heron: For several years, we put on an annual ADA Day
celebration of the signing of the Americans with Disabilities Act,
which is landmark legislation in the history of accessibility and
disability rights. This yearly event was our large production as a
community.
[09:07] Gentle Heron: But after a few years of celebrating ADA Day, we
finally realized that in SL we live in an international environment,
and we decided to broaden our perspective. Last year was our first
International Disability Rights Affirmation Conference, IDRAC2011.
[09:07] Gentle Heron: In 2011, we had panelists from all over the
world, and speakers from countries in Europe and Asia. It was an
international effort among the presenters, but the behind the scenes
work was mainly Gentle and iSkye. Boy did we learn!

[09:07] Gentle Heron: We found out that scheduling presenters back to
back was NOT a good idea. We really need time between, for takedown
and setup, and generally making sure that each presenter has time to
get ready.

[09:08] Gentle Heron: And best of all, we realized that if we
delegated tasks, things actually went better than if we tried to do
all the work ourselves. Since we’re here to talk about how this year’s
conference came about, let’s begin at the beginning, which was
choosing a date.

[09:08] Zinnia Zauber: You are welcome to join us, just that Gentle is
presenting.

[09:08] Gentle Heron: When it was an ADA Day Celebration, it was easy!
The ADA was signed on July 26, 1990.

[09:08] Zinnia Zauber: Thank you!

[09:08] Gentle Heron: So we put the ADA Day Celebration on the weekend
nearest to July 26.

[09:09] Gentle Heron: Why did we choose a weekend? It worked best both
for our presenters and our audiences, who we drew from folks already
in Second Life.
[09:09] Gentle Heron: But now, detaching the event from that specific
date gave us a little freedom, but only a little.
[09:09] Gentle Heron: Now we had to determine dates that did not
conflict with other major SL events, or with our VAI officers’
combined personal schedules.
[09:09] Gentle Heron: What’s more, as we opened up our thinking to
having presenters from outside Second Life, we realized that many
would only be available on a weekday.
[09:09] Gentle Heron: That meant we were scheduling now for Friday and
Saturday. We also realized we would need some time before the
conference to provide orientation for these presenters, as it would be
their first time in Second Life, let alone giving a presentation.
[09:10] Gentle Heron: Inworld presentations are done differently to
those in RL, as I’m sure many of you know.
[09:10] Gentle Heron: ****
[09:10] Gentle Heron: I think I was the one who figured we ought to
have a theme.

[09:10] old memories (oldmemories): iam just escaped from my life my
country is not in stability case these days

[09:10] Gentle Heron: Themes need to be narrow enough to give
direction as to which presenters to invite, yet also broad enough to
allow us to invite the presenters we are interested in hearing from.
[09:10] Gentle Heron: The first year of the new expanded conference,
our theme, more or less, was about the conference title: International
Disability Rights. That one was easy and obvious. But what to do for
our second year?
[09:10] Gentle Heron: ****
[09:11] Gentle Heron: I had recently attended the annual conference of
the Society for Disability Studies and had been impressed by a couple
of presenters who talked about how people with disabilities integrated
into their local communities.
[09:11] Gentle Heron: I knew that was an interest area of our inworld
community members.
[09:11] Gentle Heron: So I suggested that our theme for this year be:
A Community of Communities, recognizing that we all are members of
numerous interlocking communities. That worked out well, as we began
to invite presenters.
[09:11] Second Life: Items successfully shared.
[09:11] Gentle Heron: We knew that if we wanted to expand our audience
to not only be wider within Second Life, but potentially also bring in
audience members from outside, we needed to also broaden our list of
presenters.
[09:11] Gentle Heron: ****
[09:12] Gentle Heron: We knew it was unlikely that all the presenters
we invited would accept our invitation, so we invited more than we
needed.
[09:12] Gentle Heron: I don’t know what we would do if they all
accepted – I guess we would have to expand the conference!

[09:12] Zinnia Zauber: 🙂

[09:12] Gentle Heron: Inviting and scheduling involves a lot of record
keeping. We used Google Documents to create a spreadsheet and kept
track of the presenters we invited, who accepted, who said no (and
those who said, “No, but please invite me next year”).
[09:12] Gentle Heron: ***
[09:12] Gentle Heron: We included entries for keeping track of the
presenters who needed orientation and training in basic inworld
presentation skills and the use of presentation materials.
[09:13] Gentle Heron: We’re truly pleased to say that nearly half of
the presenters at IDRAC 2012 were newcomers to Second Life, and we’re
gratified that they had a very positive experience, despite some
glitches.
[09:13] Gentle Heron: We created another spreadsheet to include
specific information about the presenters – blurbs, bios, and so
forth.

[09:13] Namaara MacMoragh: wow! That’s great!

[09:13] Gentle Heron: These were used on VAI’s website, blog, and on
notecards for our introducers.
[09:13] Gentle Heron: Gentle helped the newcomer presenters set up
their Second Life accounts, and as soon as she knew their names, she
added them to our spreadsheet in Google Documents.
[09:13] Gentle Heron: We both made sure to friend them, and one or
both of us were on hand to welcome them and start training them.
[09:13] Gentle Heron: I really believe, as many mentors do, that the
personal approach is the best. One-on-one or even two-on one contact
is so crucial to a good first experience in SL.
[09:14] Gentle Heron: ****
[09:14] Gentle Heron: I had notecards inworld to keep track of the
progress of each new presenter I was working with, and I kept the
Google spreadsheet updated with each one’s progress.
[09:14] Gentle Heron: We wanted to balance presenters with a specific
disability or Second Life focus with those who had a broader
perspective on community involvement for people with disabilities.
[09:14] Gentle Heron: We also wanted to involve academic researchers
as well as people with practical experiences of being disabled.
[09:15] Gentle Heron: And we wanted a variety of formats for the
presentations. Having all “talking heads” would have been too boring!
[09:15] Gentle Heron: Accessibility is important to our community as well.
[09:15] Gentle Heron: That’s why we always have transcriptionists.
[09:15] Gentle Heron: Two kinds of transcriptionists, actually: the
more common V2T, and the easier T2V.
[09:15] Gentle Heron: ****
[09:15] Gentle Heron: V2T or voice-to-text allows presenters to use
Voice. Some of our presenters who voice can put out their own text
simultaneously (using SpeakEasy or a similar tool) and the best ones
can also advance their own slides. But many speakers prefer to just …
speak!
[09:16] Gentle Heron: However, some presenters use only text.
[09:16] Gentle Heron: For them, T2V text-to-voice transcriptionists
read the text aloud so that our dyslexic, visually impaired, or blind
members can access it.
[09:16] Gentle Heron: We can always use transcriptionists, especially
those who do V2T. Please refer them to us! We pay for their work at
our presentations.
[09:16] Gentle Heron: ****
[09:17] Gentle Heron: Greeters are also important for accessibility,
as well as for establishing a sense of joining the community of the
audience.
[09:17] Gentle Heron: They welcome people by name, offer assistance
with voice or vision issues, explain the day’s schedule, and help
solve problems that may come up during the presentation. More on that
later.
[09:17] Gentle Heron: ****
[09:17] Gentle Heron: Walking the Talk: Including the Virtual Ability
community in this conference was really a no-brainer for us.
[09:17] Gentle Heron: After all, the theme was about community, and it
was a team effort. No one person had to carry the full load. We
learned first-hand the benefits of delegating, not the least of which
was getting enough sleep at night! Here’s a partial list:
[09:17] Gentle Heron: · Gentle – identified and initially contacted
presenters, trained presenters on voice, introduced, opened and closed
conference, scheduled transcriptionists
[09:18] Gentle Heron: · iSkye – scheduled, trained and prepared
presenters, received and converted presentation materials, held hands
[09:18] Gentle Heron: · Eme Capalini – sim management, created
posters, created at least three different ‘sets’ for the stage for
different presenters, worked with inworld media
[09:18] Gentle Heron: · Pecos Kidd- website, social media
[09:18] Gentle Heron: · Ladyslipper Constantine – organised the Greeters group
[09:18] Gentle Heron: · Sister Abeyante – prepared PowerPoint for Tom
Boellstorff
[09:19] Gentle Heron: · Introducers – VAI community members who
volunteered to introduce presenters:
o Jesse Lefevre
o Roxie Marten
o Treasure Ballinger
o Pecos Kidd
o Vulcan Viper
o Carla Broek (she was also a presenter)
[09:19] Gentle Heron: Reaching out to a broader community means
contacting and inviting partner groups across Second Life and
encouraging their members to celebrate disability rights with us.
[09:19] Gentle Heron: Our event was open to everyone, because everyone
benefits when we all have equal access to community.
[09:19] Gentle Heron: ****
[09:19] Gentle Heron: Involving the audience in a presentation is
community development. We tend to have very interactive audiences. We
encourage that!
[09:20] Gentle Heron: However we recognize that not all our presenters
can deal with presenting plus watching the local chat fly by.
[09:20] Gentle Heron: So we often ask our audiences to hold comments
and questions to the end. It’s not ideal, but it respects the
presenters’ needs.
[09:20] Gentle Heron: Inviting new members into the community is
important to us as well.
[09:20] Gentle Heron: We hope our presenters will become Virtual
Ability members, if they were not already.
[09:20] Gentle Heron: We know there is a steep learning curve entering SL.
[09:20] Gentle Heron: We try to make that less onerous for our new
presenters by coaching them through the entire sign in process,
creating a professional looking avatar, and learning minimal skills.
[09:21] Gentle Heron: Presenters don’t need to learn how to buy things
or organize inventory.
[09:21] Gentle Heron: They need to know how to:
· “sit” to look as if they are standing at the podium or sitting on the bench
· ensure their Voice is working
· look at the slide projector while their avatar is facing the audience
· advance slides on the projector
[09:21] Gentle Heron: That’s about it! iSkye trains them well.
[09:21] Gentle Heron: ****
[09:21] Gentle Heron: We shared news and information about the
conference in a variety of ways.
[09:21] Gentle Heron: Some of these are:
· distributing group notices
· listing on the SL Event Calendar
· sharing information with partner groups in Second Life
· using social media to spread the word about the event in the metaverse
[09:22] Gentle Heron: iSkye used Facebook to announce the conference,
and people like Zinnia picked up on it and shared it (THANK you for
that, every one of you!).
[09:22] Gentle Heron: We sent updates on Twitter before and during the
conference, and we uploaded snapshots to our Flickr photostream – it’s
still there, at http://www.flickr.com/photos/virtualabilityinc/
[09:22] Gentle Heron: We had displays set up nearby with interesting
history tidbits about disability rights.
[09:22] Gentle Heron: We didn’t stop there. We encouraged people to
leave comments and share their impressions of different topics during
and after conference.
[09:22] Gentle Heron: If you attended the conference, it’s not too

better, and you can help!

[09:23] Gentle Heron: During the sessions, issues do come up, of
course, that require special handling.

For instance, when Philip Linden rezzed in, he had connection issues
and couldn’t see or speak. He had to relog several times (causing much
mirth in the audience, I’m sure) in order to get SL Voice to work.
[09:23] Gentle Heron: Behind the scenes, we were also working to get
him connected through Skype to the Metaverse TV folks, so that they
could record his sound. Always a challenge when connecting two
different systems, but we managed it in time.
[09:23] Gentle Heron: During our last research presentation, right at
the end when the speaker was beginning to answer questions, incredible
lag hit the entire sim.
[09:23] Gentle Heron: Several people including the transcriptionists
crashed hard. Others of us could not move or type. What did we do?
[09:24] Gentle Heron: We moved to a nearby island!
[09:24] Gentle Heron: Our greeters and other staff volunteers assisted
the presenter and everyone in the audience to move over, with LMs and
SLURLs for those who could TP and walking across with those who could
not TP.
[09:24] Gentle Heron: The presenter finished up at the other venue,
answering remaining questions almost as if nothing had happened.
[09:24] Buffy Beale: nice going!
[09:24] Gentle Heron: Meanwhile, our sim manager rebooted the
conference sim, where we reconvened for the final comedy show. (Maybe
the lag burst was a prelude for comedy?)

[09:24] Sister Abeyante: (We called it a “field trip”)

[09:24] Gentle Heron: ***
[09:24] Gentle Heron: One thing I should mention is Linden Lab support
for the event.

We had asked for and been assigned a “contact Linden.”
[09:25] Gentle Heron: When we got one of those pesky “Your sim is
scheduled for roll back” messages, we simply contacted “our” Linden
and she made that go away.
[09:25] Gentle Heron: With her support internally, our venue was
removed from the list of sims to be rolled on that day.
[09:25] Gentle Heron: ***
[09:25] Gentle Heron: After the conference, we took a day to recuperate.
[09:25] Gentle Heron: Then we started on follow-up tasks:
· feedback notecards from greeters, introducers, other volunteers
· sending conference certificates to presenters
[09:25] Gentle Heron: We also held a debriefing session to discuss the
lessons we’d learned:
· Half hour between was IMPORTANT
[09:26] Gentle Heron: · How to improve on preparing:
o Greeters
o Introducers
o Panelists
o presenters
· The importance of involving community
o Delegating tasks!
o Set a deadline for submitting presentation materials
o Get social media links of presenters
o Should presenters’ slides to be uploaded to SlideShare? Check with
presenters, get permission or links to their sharing sites
[09:26] Gentle Heron: Records of the event were created in several ways:
· Virtual Ability’s Flickr Photostream – iSkye took snapshots of each
presentation, and even a few before the event
[09:26] Gentle Heron: · Metaverse TV recordings of two presentations –
When Metaverse TV learned that we had invited Philip Rosedale, creator
of Second Life, and Tom Boellstorff, researcher, author and
anthropologist, to present at IDRAC, they asked to film these two
presentations. It was a privilege to have them there!
[09:26] Gentle Heron: · Slidesets and transcripts of the presentations
– iSkye handled the receipt and conversion of the images and
PowerPoint presentation images into SL-ready format and loaded them
into inworld projectors, then taught the presenters how to advance
their slides during their talks; transcripts of the talks were saved
as transcriptionists created them
[09:27] Gentle Heron: · Virtual Ability’s blog – details of the
conference and speakers were given, and visitors encouraged to leave
comments with their impressions
[09:27] Gentle Heron: ****
[09:27] Gentle Heron: Zinnia asked us to end today with some
information about how we measure the success of our conference.
[09:27] Gentle Heron: Of course, it’s easy to say something generic
like “if it inspired people, then the conference has been successful.”
That’s true of course, but a little difficult to measure.
[09:27] Gentle Heron: So we look at things like attendance numbers,
comments from the audience, and comments from the presenters…

[09:28] Gentle Heron: But we also ask people in the audience how they
came to hear about the sessions.
[09:28] Gentle Heron: It is important to us when we find out that
someone read about it in a group notice that we didn’t post, or got a
twitter message that we didn’t send.
[09:28] Gentle Heron: We know that as these messages spread outside

[09:28] Gentle Heron: I want to conclude by telling a story from one
of our early presentations on Friday.
[09:28] Gentle Heron: Nola Nash is from the Atlantis Community, an
Independent Living Center in Colorado.
[09:28] Gentle Heron: When I recruited her to present the history of
this community of support for people with disabilities in the physical
world, she was totally unfamiliar with the concept of virtual worlds.
[09:29] Gentle Heron: Her boss asked “Do you mean you are going to
present to The Sims?”
[09:29] Gentle Heron: By the time iSkye and I were done working with
Nola, Virtual Ability’s IDRAC conference had a moving presentation
about what is possible in an urban community where people with severe
disabilities are integrated;
[09:29] Gentle Heron: Nola and her boss had enough of a vision of the
potential benefits and uses of virtual worlds for their clients;
[09:29] Gentle Heron: And the NonProfit Commons will most likely have
a future tenant when the Atlantis Community enters Second Life.

[09:30] Gentle Heron: I call that a win-win-win for the IDRAC
conference and all our communities.

from it being an EXCELLENT, EXCELLENT conference on the topic, it was
a FANTASTIC model on how to run a conference in SL. I would suggest
that this presentation and slides be made available as a “how-to
guide” for others who are planning in-world conferences.

‘regular’ duties, so I went to bed early.

the conference, and then scheduling meetings on the day after to make
sure that everything does happen. It’s so easy to fall into exhaustion
after something big and forget the final details now that the audience
is gone.

Health Communication, Marketing, and Media in

to relax a bit. In my abstract presentation, I
shared information about capacity building
through social media and virtual worlds for
“Sexual Health in a Digital Age”. Many attendees
(nonprofits) did not know of TechSoup and its
various services. The ones that knew about
TechSoup were not aware of the NPSL community
and the benefits of being part of the community.

provided with an invitation to visit and join our virtual community.
